Under the general direction of the Right-of-Way (ROW) Advisor and the Deputy Director of Third Parties, the ROW Project Coordinator provides integrated support for both document management and project coordination functions related to Right-of-Way activities. This position is responsible for receiving, preparing, processing, and tracking property-related documents, while also supporting broader project delivery tasks including scope tracking, budgeting, scheduling, and reporting. The Project Coordinator works closely with utility owners, project team members, and agency representatives to ensure timely completion and compliance of all ROW documentation and project activities. This role is essential to maintaining organized workflows, supporting team operations, and ensuring communication and deliverables are consistently managed throughout the project lifecycle.
- Receive plats and legal descriptions from the survey team; create deed jackets, coordinate with utility owners, obtain necessary approvals and signatures, notarize and record conveyance documents, and transmit completion letters to the Authority.
- Assist the ROW team and project managers by supporting daily operations, coordinating schedules, tracking deliverables, and helping resolve administrative, procedural, and confidential matters.
- Prepare and maintain project documentation including scopes of work, contract files, status reports, and progress tracking, ensuring alignment with budgets and timelines.
- Draft, proofread, and review correspondence and project-related documents; maintain both physical and digital filing systems for ease of access and audit readiness.
- Organize weekly reporting on project progress by task, identify issues, recommend solutions, and track milestone completion.
- Interface with internal and external stakeholders to monitor document and project approval processes; escalate issues as needed to ensure timely resolution.
- Knowledge of office and project management principles, administrative procedures, and document control best practices.
- Ability to coordinate with utility agency staff and stakeholders to facilitate approvals and conveyance documentation.
- Skilled in problem solving, multitasking, and maintaining organized and accurate records.
- Strong written and verbal communication skills; capable of drafting clear correspondence and status updates.
- Ability to work independently and as part of a team in a fast-paced and deadline-driven environment.
- Excellent interpersonal skills and ability to manage challenging stakeholders.
- Demonstrated capacity for high responsibility and good judgment.
- Experience working in a mobile environment across multiple locations.
- Familiarity with ROW practices, project reporting tools, and public agency processes is a plus.
