Quality Roofing, Inc. is a continuously growing Roofing and General Contracting company committed to delivering high-quality workmanship and customer service. We're looking for a motivated, detail-oriented Full-Time Receptionist to join our team and contribute to the continued success of our business operations.
Position Summary: The Receptionist serves as the first point of contact for our company—both in person and over the phone. This role is essential in creating a welcoming, organized, and productive office environment. The ideal candidate will be a confident and proactive team player who can handle a multi-line phone system and take accurate, detailed information, all while delivering exceptional customer service with professionalism and efficiency.
Key Responsibilities:
•Phone Management: Answer all incoming calls promptly and professionally (ideally on the first ring). Accurately transfer calls with detailed information or take messages and email them to the appropriate team member.
•Scheduling & Calendars: Schedule meetings, coordinate travel, and maintain calendars for staff as needed.
•Document Preparation: Assist in organizing and preparing documents; generate reports as requested by collecting and summarizing information.
•Visitor Reception: Greet and direct customers, vendors, and visitors to the appropriate staff.
•Mail & Deliveries: Manage incoming/outgoing correspondence including USPS and UPS mail. Distribute mail efficiently.
•Office Supplies: Monitor and order office supplies as needed or upon request.
•Software & Data Management: Maintain lead and job records in Acculynx software; perform data entry and ensure accurate recordkeeping.
•General Administrative Support: Assist co-workers with filing, organization, and other administrative needs.
•Office Maintenance: Keep reception area, conference room, kitchen, and office supply areas clean and organized. Ensure printers and copiers are stocked with paper.
•Errands: Occasionally run local errands using a company-provided vehicle.
Qualifications:
•Strong communication and interpersonal skills
•Excellent organizational and multitasking abilities
•Proficiency with Microsoft Office Suite and general office equipment
•Willingness to learn industry-specific software (e.g., Acculynx)
•Ability to maintain confidentiality and professionalism
•Reliable, punctual, and dependable attendance is a must

Preferred Requirements but not mandatory:
· Bilingual (Spanish) and a construction knowledge background. Valid State Issued Driver’s License and clean driving record to operate company vehicles.
