Job Summary:
We are seeking a detail-oriented Receptionist to join our team. The ideal candidate will be responsible for managing the front desk, providing administrative support, and ensuring a positive experience for all visitors.
Operate multiline telephone system to answer incoming calls and direct callers to appropriate personnel by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
•Answer incoming telephone calls with a positive attitude, determine purpose of callers, and forward calls to appropriate personnel or department.
•Retrieve messages from voice mail and forward to appropriate personnel.
•Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable.
•Answer questions about organization and provide callers with address, directions, and other information.
•Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
•Monitor visitor access and issues passes when required.
•Receive, sort, and route mail.
•Perform other clerical duties as needed, such as filing, photocopying, and collating.
Other Responsibilities
Courier:
•Schedule all outgoing packages for courier
•Maintain contact and coordinate with courier the route and needed drop-offs and pick ups
Front Desk:
•When answering phone calls, route the call to the correct person and take messages if necessary
•Answer phone by 2nd ring
•When greeting a customer, ask for information regarding who they are, who they need to see, what they are here for, and why.
•Provide a professional appearance of the reception area: keep the desk clean, organized, and a low
volume of music; small snacks are allowed if they contain a minimal aroma, but lunch and other food items are not permitted.
Gatekeeper:
•Screen calls for senior management to reduce unwanted sales calls (non-client)
•Monitor and apply visitor rules. Visitors must have appointment or employee’s permission to visit any
employee or manager.
Other:
•Prepare and assemble packages; maintain tracking numbers
•Assist other departments with packaging or data entry
•When finished with work, see manager for further work opportunities
Skills:
- Proficiency in using computerized systems for office tasks
- Strong organizational skills to manage calendars effectively
- Excellent communication skills for interacting with visitors and staff
- Ability to handle phone systems efficiently
- Experience in administrative duties such as data entry and order processing
