Coates Field Service, Inc. is seeking a highly motivated Real Estate Coordinator/Paralegal for a position located in our Oklahoma City, OK Centralized Operations Center. The successful candidate will have advanced computer skills and be well-versed in database entry and reporting, cloud file sharing applications, easement, and land acquisition documents, understanding and applying the basics of surface title reports, reading and interpreting design plans, and producing accurate deliverables on short notice. This full-time will report to our Centralized Operations in Oklahoma City, OK.
Overview of Duties:
•Investigate, negotiate, acquire, defend, and ensure legal recording and enforcement of all property rights required for electric, gas or communication infrastructure for Distribution & Transmission projects
•Examines right of way files (containing easements, deeds, legal descriptions, permits, agreements, contracts, other documents and correspondence relating to the property) in order to determine issues such as line extensions, multiple line rights, assignability/abandonment clauses, lease terms, restrictions
•Facilitates and coordinates documents in order to prepare database reports involving ownership information, status of acquisition processes, instructions to field crews, history of contacts between Right of Way Agents and landowners, payments made, damage settlements, property values and other pertinent data
•Respond to internal and external customer inquiries in matters related to property rights
•Prepares or assists in preparing and securing specific state, highway, railroad, County, Town, City, Village permits for use of lands owned by governmental agencies, the public or other utilities including tree clearing permits
•Investigate, negotiate and/or confirm electric and gas franchise agreements and boundary lines
•Investigate, negotiate and acquire leases/licenses for staging areas for storm or construction lay down areas; railroads & canals crossing permits
•Responsible for document management involving legal documents filing, recording, parceling & indexing and retrieval
•Coordinates Capital Projects for the installation of new and upgraded facilities
•Receives and processes real estate documentation in electronic format
•Responsible for coordination of the digital document flow from title, landowner, recording, and filing
•Digital document processing, including combining and extracting PDF documents, conversion to MS Word, and redlining of documents
•Receives assignments from workflow database and provides workflow documentation to the database as needed
•Obtains and reviews title information and checks accuracy of legal descriptions against maps
•Scans land rights documents and enters data into online database
•Prepares the appropriate form document(s) using existing templates and delivers to the landowners for signature in a timely fashion
•Responsible for final quality control of easement documents and the filing of original documents in right of way records system. Analyzes legal documents to assure that all have been properly executed and notarized
•Understands right of way records and percentage of ownership under easement
•Other duties as assigned
Minimum Requirements
•Associates degree, real estate license, paralegal certification, or equivalent professional experience
•Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
•SharePoint or other cloud file sharing applications, and Microsoft Teams knowledge a plus
Specialized Knowledge / Education Required:
•Knowledge of real estate and right of way acquisition processes and documentation
•Title research and abstracting experience
•Strong customer service skills
•Project management skills
•Must be detail-oriented and have proficient organization skills
•Knowledge of proper legal document execution practices, such as what signatures are required for trusts, conservatorships, guardianships, estates, etc.
•Knowledge of due diligence review of right of way files and understanding of assignability and reversionary clauses, restrictions, fractional ownerships, lease payments and terms, abandonment clauses
