Job Overview
The Purchasing Coordinator is responsible for supporting the procurement process by maintaining accurate records, coordinating supply needs, managing inventory levels, and ensuring timely order fulfillment. This role serves as a critical liaison between internal teams, suppliers, and vendors to maintain efficient purchasing operations and optimal inventory levels.
Key Responsibilities
•Maintain accurate purchasing, inventory, shipping, and receiving records by compiling and entering data from contracts, purchase orders, invoices, requisitions, and accounting reports into internal systems.
•Act as a liaison for the Purchasing Manager and/or DENIOS during preliminary supplier and vendor negotiations, providing data and analysis to support decisions on pricing, lead times, and quality.
•Monitor inventory levels by analyzing stock control data, including usage rates, item characteristics, and current market trends, to determine replenishment needs. This includes identifying ideal minimum and maximum levels and ensuring adequate stock availability.
•Prepare requisitions, purchase orders, and related documentation for the procurement of new or replacement inventory items.
•Verify requisitions and shipping orders by comparing item names, stock numbers, authorized substitutes, and other information using catalogs, manuals, and other reference materials.
•Fully manage MRO (Maintenance, Repair, and Operations) purchasing, including vendor negotiations and stock level maintenance.
•Oversee and track drop-ship purchase orders from sale through delivery, making necessary adjustments and providing proactive support to ensure timely fulfillment.
Qualifications
•Associate's Degree and a minimum of 2 years of relevant experience, or an equivalent combination of education and training.
•Strong team orientation with a willingness to support cross-functional departments.
•Excellent verbal and written communication skills.
•Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
•Experience with supplier/vendor management and warehouse inventory control preferred.
