Overview
The Public Affairs and Communications Coordinator plays a critical role on PPL’s Public Affairs team in ensuring the smooth and efficient functioning of daily business operations. This position provides essential administrative, logistical, and process support to cross-functional teams, helping to streamline workflows, maintain organizational systems, enhance overall team productivity and contribute to a high-performing, well-coordinated work environment.
Responsibilities Primary Responsibilities: Support the Delivery of Internal Communications
- Post approved articles on PPL’s internal communications channel.
- Distribute approved mass email communications.
- Monitor for comments on internal articles and forward to subject matter experts for appropriate follow-up or response.
- Review and approve postings for PPL’s internal events calendar.
- Provide administrative support to department leadership, including calendar management, meeting preparation, travel planning and follow-up, etc.
- Conduct research and prepare summaries, as requested, to support Public Affairs decision-making.
- Create contract requisitions and support invoice processing, response and issue resolution tied to Public Affairs/Corp Comm contracts.
- Assist with drafting executive correspondence.
- Serve as a liaison with other departments, as needed, to provide troubleshooting and technical support for team members.
Provides Structure and Process Support to Enhance Team Operations
- Identify and implement process improvements to enhance team efficiency.
- Create and manage a central repository for Public Affairs messaging documents, plans, job aids, etc. to enhance collaboration and access to up-to-date information.
- Support intake, processing of, and response to corporate sponsorship requests and PPL Foundation grant applications.
- Manage and process disbursements for corporate Political Action Committees (PACs), ensuring accuracy and compliance with applicable regulations.
- Maintain detailed records and support PAC operations, including preparation and submission of required compliance filings such as Federal Election Commission (FEC) quarterly reports.
- Coordinate and compile data for timely and accurate filing of quarterly federal lobbying disclosure reports.
- Provide support for volunteer and other external events, as needed.
- Support smooth onboarding of new employees to Public Affairs team (systems access, equipment, etc.).
- Assist in the preparation of budgets.
- Manage confidential information with discretion and professionalism.
- Bachelor's degree or an equivalent combination of education and experience on a year-for-year basis with experience in operations, project coordination, or executive support.
- Strong analytical and organizational skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office and project management tools.
- Ability to manage multiple priorities and work independently.
