Role Description:
The Proposal Manager plays a pivotal role in supporting the division's business development, marketing, and proposal management efforts. This individual will lead divisions proposal strategy, internal communication, community engagement, and branding initiatives, ensuring alignment with overall business objectives. They will collaborate closely with division leadership, marketing department, and other key stakeholders to promote the division's culture, strengthen client relationships, and drive business growth.
Future responsibilities: Work within the CRM system to manage and track business development activities, maintain client and project information, and analyze data to inform strategy. Oversee the documentation of win/loss outcomes and gather debriefing insights from proposal pursuits to continuously improve processes and strengthen future opportunities.
Responsibilities:
Proposal Management
•Establish and manage a Go/No-Go process with Levels 1-3 to assess project opportunities.
•Develop proposal strategies, prioritize action items, assign responsibilities, and work with the marketing team to align on content creation.
•Manage proposal tasks, deadlines, and team accountability.
•Develop compelling content to enhance service offerings and drive sales.
•Develop and layout proposal content with a focus on clear communication and visual appeal, ensuring alignment with branding standards.
•Utilize design and creative skills to create professional, visually engaging proposals that effectively showcase the division’s capabilities and align with client expectations.
•Review and refine proposals for quality and accuracy before submission.
•Coordinate proposal delivery and gather post-process feedback from the team and clients.
Other respective responsibilities:
Community and Industry Engagement
•Partner with the division manager to identify relevant organizations, conferences, and community groups for involvement.
•Organize and manage division participation in community events, golf tournaments, and industry boards.
•Work with marketing to secure necessary assets and capture content for social media and marketing purposes.
•Oversee booth management and attendee coordination for local and industry conferences, ensuring alignment with business goals.
Internal Communication and Culture Building
•Collaborate with the division manager and division team to coordinate and execute annual team-building activities and cultural initiatives (e.g., cook-offs, tournaments).
•Assist in content gathering for division newsletters and marketing campaigns in collaboration with the marketing team.
•Identify and coordinate division-specific communications in collaboration with the marketing team.
Jobsite Branding and Engagement
•Identify branding opportunities on jobsites and coordinate with marketing for design and implementation.
•Develop a process for signage on jobsites that cannot be physically visited and collaborate with project team or preconstruction team to establish a signage plan.
•Research best practices for jobsite signage and provide reports to marketing on innovative approaches.
Client Engagement and Relations
•Coordinate groundbreaking, topping out, and ribbon-cutting ceremonies, working with marketing on required assets and capturing content for social media.
•Assist with client video production and engagement events.
•Compile client references and manage tasks related to project closeout and client feedback.
Awards and Rankings
•Identify local and industry awards and rankings opportunities in collaboration with division leadership.
•Work with marketing to gather necessary assets and fill out submission forms for industry and local lists.
•Facilitate project award entries and gather information to highlight division achievements, collaborate with marketing to for deliverables.
Required Skills and Qualifications:
Technical Skills:
•Strong project management and organizational skills, with the ability to handle multiple tasks and meet deadlines.
•Proficiency in writing, editing, and review processes.
•Familiarity with branding, marketing, and social media strategies.
•Knowledge of community and industry engagement strategies.
Soft Skills:
•Exceptional communication and interpersonal skills to collaborate with internal teams and external partners.

Preferred Experience:
•3+ years in marketing, business development, or a related role, preferably within the construction or AEC (Architecture, Engineering, Construction) industry.
•Experience with CRM tools and marketing platforms is a plus.
