Position Summary

The Project Expeditor – Critical Materials is responsible for monitoring and ensuring the timely delivery of high-value, schedule-critical materials needed to support specific manufacturing projects. Working closely with project managers, production planners, procurement, and suppliers, the Project Expeditor identifies potential delays, prioritizes urgent needs, and drives the expediting process to keep project milestones on track. This role is the central link between the project schedule and material availability, ensuring on-time delivery to meet customer and contractual commitments.


Key Responsibilities


Project-Focused Material Tracking

- Review project schedules and bills of material (BOM) to identify long-lead and high-priority items.

- Maintain a project-specific expediting log showing status, delivery dates, and risk level for all critical materials.

- Flag potential schedule impacts early and work with the project team to mitigate delays.


Supplier & Procurement Coordination

- Partner with procurement to follow up on project-related purchase orders, pushing for timely shipments.

- Address supplier performance issues, negotiate expedited delivery options, and coordinate with alternate sources when needed.

- Ensure suppliers provide accurate documentation, including certifications and inspection reports, before shipment.


Shop Floor & Warehouse Interface

- Monitor the arrival of project-specific materials in the receiving area and fast-track them through inspection and kitting.

- Coordinate with production supervisors to confirm that materials are staged and ready for use when required.


Logistics Oversight

- Track transportation for high-priority shipments, including domestic and international freight.

- Work with carriers, freight forwarders, and internal logistics teams to ensure materials arrive at the manufacturing site on schedule.


Reporting & Communication

- Provide regular expediting updates to the project manager and key stakeholders.

- Maintain real-time visibility of critical material status in ERP/MRP systems.

- Support project meetings with material readiness updates and risk assessments.


Project Impact

The Project Expeditor plays a mission-critical role in ensuring that high-value materials are in the right place, at the right time, every time. Without this role, even the best-planned projects can stall due to late deliveries or shortages. By proactively identifying risks, pushing suppliers for performance, and aligning material flow with project schedules, the Project Expeditor keeps manufacturing timelines intact, safeguards customer commitments, and directly contributes to the project’s profitability and success.


Qualifications & Experience


Minimum Education/Experience:

- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Supply Chain, Project Management, or related field preferred.

- Minimum 3-5 years of experience in expediting, project coordination, or supply chain management.

- Experience in a manufacturing or project-based production environment required.


Knowledge, Skills & Abilities:

- Understanding of project scheduling, milestones, and critical path dependencies.

- Ability to read and interpret BOMs, purchase orders, and project plans.

- Proficiency in ERP/MRP systems (SAP, Oracle, JD Edwards, or similar) and Microsoft Excel.

- Strong communication and follow-up skills to work with suppliers, project teams, and shop floor staff.

- Problem-solving skills to address last-minute changes and material delays.


Physical Requirements

- Frequent movement through manufacturing and warehouse environments.

- Ability to stand or walk for extended periods and occasionally lift up to 25 lbs.

- PPE required when working on the shop floor.


Work Environment

- Combination of office and manufacturing floor settings.

- Fast-paced, deadline-driven environment with frequent interactions across multiple departments.
