Overview
We are seeking a BILINGUAL, highly organized and motivated Project Coordinator to assist in managing and supporting various projects. The Project Coordinator will play a key role in managing the administrative and logistical aspects of construction projects. Working closely with project managers, contractors, and subcontractors, the Project Coordinator will help ensure that projects are delivered on schedule, within scope, and in compliance with safety and quality standards. The ideal candidate will have excellent communication skills, strong organizational abilities, and an understanding of construction processes.
Duties
•Assist in the planning and execution of construction projects, ensuring that project timelines and milestones are met.
•Coordinate the scheduling of subcontractors and suppliers, ensuring materials and resources are available as needed.
•Maintain accurate and up-to-date project documentation, including contracts, change orders, and bids/invoices.
•Communicate with clients, dealerships, engineers, and subcontractors to ensure project requirements and expectations are met.
•Prepare and distribute meeting minutes, action items, and follow-up tasks from project meetings.
•Assist with project procurement, including ordering materials and coordinating deliveries to job sites.
•Monitor safety and compliance standards on job sites by ensuring all required permits and documentation are in place.
•Assist the Project Manager in managing project risks, addressing potential delays, and proactively resolving issues as they arise.
•Support the preparation of project status reports, including progress, cost tracking, and any potential risks or delays.
•Ensure project close-out documentation (invoicing) is completed and filed in a timely manner at project completion.
•Assist in the preparation and submission of project bids, proposals, and estimates as required.
•Provide general administrative support to the project team as needed.
Requirements
•Bilingual in Spanish is REQUIRED - must be FLUENT, able to read and write in Spanish and English.
•High school diploma or equivalent required; Associate’s degree or related experience preferred.
•1+ years of experience in administrative support or project coordination.
•2+ years of experience in construction project coordination or a similar role in the construction industry. (PREFERRED, but not required)
•Knowledge of construction processes, terminology, and best practices.
•Strong understanding of construction project documentation (contracts, permits, bids, invoices, etc.).
•Proficiency in Microsoft Office Suite (especially Excel and Word); experience with QuickBooks is preferred.
•Excellent organizational and multitasking abilities, with the capacity to manage several projects simultaneously.
•Strong communication skills, both verbal and written, with the ability to interact with a variety of stakeholders including clients, contractors, and vendors.
•Attention to detail, problem-solving skills, and the ability to handle complex issues in a fast-paced environment.
•Knowledge of safety regulations and industry standards in construction.
•Ability to work effectively in both team-based and independent settings.
