The Operations & Estimating Coordinator plays role in supporting multiVIEW’s Field Engineering and Geophysics projects. This individual is detail-oriented and a critical thinker, responsible for coordinating project activities across multiple stakeholders under tight timelines, while maintaining a strong focus on customer service. Additionally, they engage directly with clients to understand their needs, prepare cost estimates and proposals, interpret RFPs/RFQs, and guide them through the procurement process.
- Maintain the master work schedule, including the assignment of people and equipment to projects.
- Working closely with the Project Engineer, assume responsibility for accurate, timely and relevant project reporting to stakeholders.
- Manage emergency requests, on-call board, communication processes and technician hours.
- Prepare and distribute Technicians’ daily schedules. Create schedules that result in optimal utilization of technician, equipment and fleet resources.
- Track and record fleet maintenance scheduling and fleet availability.
- Deal with scheduling issues and conflicts as they arise internally and with clients.
- Coordinate records and utility locates for customers and projects.
- Process sales orders into the system.
- Compile work packages defined by the Project Managers and others to provide tasking instructions for the operations team.
- Collect and enter sub-surface data into a database.
- Check field staff timesheets against work instructions and time standards and enter into the system.
- Manage permitting process.
- General office administrative tasks.
- Other duties as assigned.
- Responsible for the “quote to order” process, generate quotes, provide timely follow-up, handle direct sales inquiries
- Efficiently and timely processing of quotes and sales order requests received via any communication means, including RFQs, RFPs and RFIs.
- Review engineering drawings and plans and RFPs to understand customer’s scope and needs.
- Work with internal stakeholders and clients to define and assess needs and recommend the appropriate service, including making site visits as required.
- Prepare quotations and proposals using standard templates and judgement.
- Attends client project meetings as required
- Develop relationships with repeat customers, and promotes sales.
- Review contract agreements.
- Other duties as assigned.
- Licensed to practice engineering in Ontario, P.Eng an asset.
- College diploma or equivalent experience.
- Practical understanding of the analysis of engineering drawings and tenders/RFP’s.
- Must have a valid driver’s license.
- 3-5 years’ experience in business development, estimating and contract negotiation.
- 2 years’ experience as a dispatcher or operations lead preferred.
- Estimating designation an asset.
- Strong computing skills.
- Travel to client locations as required.
- Experience in Utility Locating or Construction an asset.
- Strong customer service skills.
- Well organized and calm under pressure.
- Organized and systematic with good attention to detail.
- Self-motivated, adaptable and good in teams.
- Excellent presentation and communications skills.
- The ability to build business relationships, with clients and across the business.
- Discrete and able to maintain confidentiality.
- Experience in Civil Infrastructure construction environments an asset.
