Position Summary:
This position plays a critical support role in the successful delivery of our active construction projects and is essential to the overall effectiveness of our project management team. The Project Coordinator is responsible for ensuring that all logistical, administrative, and tracking aspects of each project are executed with precision. From initial scheduling of subcontractors to final documentation closeout, this role ensures that projects stay organized, on schedule, and within budget.
The Project Coordinator will work closely with the Project Manager, Site Foreman, Estimator, and vendors to maintain up-to-date records, schedules, and expense tracking. This role will also lead the charge in managing project documentation, monitoring subcontractor progress, while looking ahead on projects to anticipate upcoming needs. Primary Duties:
•Lead by example in all aspects of work.
•Support a high-performing field team by collecting and assembling pre-construction documentation, subcontractor schedules, and internal communication in all phases of active and completed projects.
•Consistently review project documents (site plans, submittals, specs, schedules, budgets, SOPs) to ensure accurate planning of materials, equipment, and manpower needs.
•Track, audit, and update project schedules, daily logs, and budgets to proactively identify potential delays, resource gaps, and coordination issues.
•Communicate clearly and consistently with general contractors, vendors, and subcontractors to confirm schedules, deliveries, and project expectations in support of the clean execution of projects.
•Maintain real-time project documentation, including change orders, material logs, time and material (T&M) tickets, RFIs, and submittals for ownership and leadership review.
•Support and assist field leadership by helping them stay organized, on schedule, and well-informed with current job documentation and schedules.
•Assist Operations team with data entry and software management including B2W and Trimble Business Center.
•Take initiative in identifying areas of improvement for project flow, communication, and documentation accuracy.
•Uphold company safety standards and documentation practices as outlined by GE and OSHA.
•Assist with site logistics, material procurement, and equipment scheduling.
•Adapt to changing project needs and environmental conditions to ensure smooth job progression year-round.
•Remain responsible for and focused on personal and professional growth.
•Maintain and exceed safe work environment requirements set forth by GE and OSHA.
•Assist team with site work including excavating, utility installs, and grading, as needed.
•Manage a full range of projects including residential and commercial site work.
•Continually adapt to weather conditions to complete jobs year round.
Minimum Qualifications:
•Willingness and desire to support field crews and project managers through diligent coordination and communication
•Strong organizational habits with a passion for keeping projects on track and nothing slipping through the cracks
•2+ years of experience in construction coordination, project administration, or civil construction support roles
•Ability to read and understand construction documents (plans, specifications, schedules)
•Comfortable using construction management software (e.g., Procore, B2W, etc.)
•Clear and professional communication skills with ability to interface with foremen, subcontractors, general contractors, and vendors
•Ability to follow and manage internal systems to support job tracking, budgeting, and documentation
•Must be able to juggle multiple tasks and timelines in a fast-paced environment
•High attention to detail and willingness to proactively solve problems as they arise
•Demonstrated ability to manage documentation such as RFIs, submittals, and change orders accurately and on time
•Basic knowledge of construction processes, equipment, and materials
•Desire to contribute to a culture of teamwork, accountability, and excellence
Preferred Qualifications:
•Experience coordinating excavation, sitework, or underground utility projects
•Familiarity with construction scheduling software or tools
•OSHA 10 or OSHA 30 Construction Certification
•Associate’s or Bachelor’s degree in construction management, engineering, or a related field (or equivalent experience)
•Experience assisting or supporting project managers on civil construction projects
•Familiarity with production tracking systems or time-and-material documentation
•Comfortable performing occasional site visits or field support tasks
