Reports To: Project and Operations Manager Location: Saint Cloud, Florida Schedule: Full-time | Monday – Friday (Occasional Saturdays as needed)
We are seeking a highly organized, detail-oriented, and customer-focused Permit Specialist to manage the permitting process for solar and roofing projects across Florida and potentially other states in the future. This role involves applying for and tracking permits, coordinating inspections, maintaining compliance documentation, and ensuring timely and efficient workflow from application to final approval.
- Submit, apply, and manage permits (Solar/Roofing) across all counties, cities, towns, and municipalities in Florida and future states.
- Maintain an organized workflow and update the CMR (Customer Management Report) weekly.
- Record and notarize Notices of Commencement (NOC).
- Schedule and request inspections upon project completion.
- Support the Permission to Operate (PTO) team by providing Certificates of Completion (COC) and final documents after inspection approval.
- Monitor and follow up on all permits daily and keep status updated in CMR.
- Assist in registering new contractors with relevant authorities.
- Maintain up-to-date licensing, insurance, tax receipts, and related documentation required for permitting.
- Create and maintain a detailed document (Excel/Google Sheet) of permitting processes and contacts for each municipality.
- Coordinate with the Operations and Project Managers to optimize project timelines and permit handling.
- Help train new staff in permitting procedures as needed.
- Attend training sessions and maintain required certifications.
- Obtain a Florida State Public Notary Certification (Company will assist, but completion and compliance are the employee’s responsibility).
- Prepare daily and/or weekly reports as requested by supervisors.
- Maintain high standards of Quality Assurance (QA) and Quality Control (QC) in all permit-related activities.
- Perform other duties as assigned.
- Bilingual (English/Spanish) – required
- Minimum 1–2 years’ experience in a fast-paced permitting environment
- Outstanding customer service and interpersonal skills
- Excellent written and verbal communication abilities
- Strong organizational and time-management skills
- Proficient with web-based programs, Google Workspace, and Microsoft Excel
- Able to multitask and prioritize effectively
- Proactive problem-solver with strong analytical and creative thinking skills
- High level of professionalism, confidentiality, and a positive demeanor
- Willingness to occasionally work Saturdays as needed
- Ability to notarize documents (after certification)
- Administrative Skills 1 year preferred
