Summary: This is a key role in the strategic planning and management team, whose focus is planning and prioritizing the cycle and delivery of lawncare and landscaping services, so that programs and projects can be aligned to specific objectives and deadlines for the team overall to deliver the intended benefits for our customers. They will communicate with customers directly, as well as oversee and support the work of office staff in various project management and administrative activities.

The essential functions include, but are not limited to the following:
▪ Oversee and manage office operations and administrative tasks to maintain a smooth running office
▪ Ensure good customer communications within the office by delegating and directing to relevant staff, or personally handling calls, walk-ins, emails, etc.
▪ Maintain company financial records and job cost tracking systems
▪ Manage all aspects of billing including general ledger posting, invoicing, A/R and A/P
▪ Handle Boss plow sales and warranties and manage sending, receiving and allocating service contracts for spring and fall cleanups, plowing, mowing, and fertilizing
▪ Process payroll and respond to employee inquiries regarding their administrative needs
▪ Update Quickbooks, customer and material databases and general bookkeeping and organization
▪ Manage records, maintaining professional confidentiality with company, customer, and employee information
▪ Communicate when needed with various internal and external contacts and services like insurance, accountant, vendor, employment and other resources to accomplish various administrative needs
▪ Process work orders, and maintenance routes, with necessary paperwork to support project management
▪ Monitor office supplies and the ordering of supplies as required
▪ Interview and coordinate the training of office employees, and organize all new hire employment paperwork
▪ Discuss office progress and problems with Operations Manager working with them to help improve operations and procedures
▪ Develop and implement/assist with implementing new administrative systems and procedures
▪ Ensure that all work activities are carried out in a safe and efficient manner, and that you are in compliance with government and company PPE standards
▪ Comply with and maintain all company policies and regulations
▪ Work in accordance with all local health and safety laws and regulations
▪ Maintain a respectful work environment with issue resolution and conflict mitigation
▪ Minimum 3 years of experience in office and/or project management
▪ Must report to work on time and have good time management skills
▪ Experience using Quickbooks, Excel, and Word and other office software
▪ Excellent customer relations and communication skills – must be able to carry out verbal instructions, read labels, signs, and reports
▪ Ability to read and interpret designs, blueprints, and specifications
▪ Ability to work both independently with little supervision, and as part of a team
▪ High level of social contact working directly with customers and staff both written and verbal
▪ Office environment with occasional loud/distracting noises from yard or shop equipment
▪ Ability to work in a fast-paced environment
▪ In person work able to commute to office
▪ Flexible working hours including occasional weekend work
