The Office secretary’s position is a hands-on role that requires direct customer contact and phone work as well as Microsoft Office, Excel along with QuickBooks experience. Ability to understand and implement a specialized CRM system. The role also involves direct, clear and concise communications with other Homestory departments to resolve any outstanding customer issues.
We are looking for an individual who can anticipate needs and find solutions. This individual would be personal, fast-paced, detail oriented and have a good sense of humor. They would enjoy working on multiple projects and tasks at a time.
· Calling leads to schedule qualified sales calls, service issues, measurement appointments and installation appointments.
· Resolve product or service concerns by clarifying customer’s issues
· Receive, assemble, file and organize job packets
· Complete necessary paperwork and data entry to process all orders in CRM
· Manage all in bound customer service calls to assist customers with timely and accurate answers
· Respond to customer inquiries by telephone, email or direct mail
· Schedule and enter sales appointments for in home estimates
· Schedule and enter measurement appointments from in home sales
· Answering all web lead inquiries (email and outbound phone exchanges with customers)
· Run credit card transactions through our service provider
· Process payments in Homesouce, Master Log and Quickbooks
· Verify accuracy of all employees’ actual timecards per pay period
· Process Payroll in accordance with Corporate Guideline
· Maintain Corporate Drive documents i.e. Master Log, Daily Score Board, Shipping Log, Tracking Shipments
· Maintain Home Depot Connect and administrative tasks in the Home Depot
· 2nd part match and verification of invoices
· Calendar management for General Manager, Sales Staff, Measure Tech and Installers
· Asist with meeting preparations: send out invites, compile materials
· Assist in composing and sending out Companywide emails
· Handle confidential and sensitive information with discretion
· Coordination with other departments including Sales, Production, Installation, Finance etc.
· Assist General manger with various projects and tasks
· Create accurate records on all leads and calls made
· Ensure every call is handled with world-class service
