Administrative Office Assistant & Permitting Specialist

We are seeking a detail-oriented, proactive, and organized Administrative Office Assistant with a background in building permits to join our team. This position plays a vital role in the smooth operation of our office by providing clerical support, facilitating communication, managing documentation, and ensuring timely permitting for job sites and scheduling.
Key Responsibilities:
Administrative Support
•Perform general office duties including filing, photocopying, scanning, and organizing documents.
•Maintain physical and digital filing systems to ensure quick retrieval and compliance.
•Order and manage office supplies and equipment as needed.
Communication & Correspondence
•Answer, screen, and direct incoming phone calls in a professional manner.
•Respond to emails promptly and ensure proper follow-up on inquiries or requests.
•Greet and assist visitors and clients with professionalism and courtesy.
•Draft and distribute internal memos, emails, letters, and other correspondence as required.
Permitting and Job Site Coordination
•Prepare, submit, and follow up on permit applications with local municipalities and agencies.
•Coordinate with project managers and contractors to ensure all required documentation is submitted on time.
•Track the status of permits and ensure they are received before the commencement of work.
•Maintain records of permits and related communications for future reference.
Scheduling and Calendar Management
•Scheduling sale appointments and customer related activities.
•Maintain office and project calendars, ensuring no overlaps or missed deadlines.
•Scheduling building inspections with customer and building departments.
Data Entry and Record Keeping
•Input and update data into company systems accurately and efficiently.
•Maintain records of employee timesheets, job logs, and other operational data.
•Work directly with the Bookkeeping Manager for invoice processing & collections as needed.
Support to Other Departments
•Assist project managers, estimators, and other departments with administrative needs.
•Communicate and follow up with vendors, subcontractors, and clients as directed.
Not required but highly desirable would be any candidates experience with Impact Windows and Doors is also highly desirable.

This is a Part Time in office Position.
Job Type: Part-time
Pay: $16.00 - $22.00 per hour
Expected hours: 20 – 30 per week
