Job Overview
We're looking for a friendly, organized, and detail-oriented Office Coordinator/Manager to keep our day-to-day operations running smoothly. You'll be the heartbeat of our office-supporting project staff, interfacing with clients, and helping our leadership stay on track. From scheduling and document management to client communication and light accounting, you'll be involved in nearly every aspect of what makes our boutique design-build firm successful.
This role is ideal for someone who enjoys wearing multiple hats, solving problems, and working with a passionate, close-knit team. A positive attitude, strong communication skills, and a proactive approach are key.

Pali Coast is a locally owned outdoor design and build firm serving the Pacific Palisades and surrounding coastal communities. We specialize in transforming outdoor spaces-from detailed planting and irrigation to custom patios, lighting, and outdoor kitchens. •Serve as the first point of contact for calls, emails, and office visitors
•Manage calendars, project files, and meeting schedules
•Organize and maintain office systems and inventory
•Support estimating and design staff with proposals, bid documents, and client presentations
•Track receipts and expenses; assist with payroll processing and basic bookkeeping tasks
•Coordinate vendor files, insurance certificates, and compliance documentation
•Help plan team meetings and company events
•Handle office upkeep to ensure a clean, professional workspace
•Communicate clearly with clients, subcontractors, and internal team members
•Assist in onboarding new hires and managing internal workflows
•Other administrative duties as needed
Requirements
•3+ years of administrative or office management experience (landscape or construction industry a plus)
•Comfortable with digital tools (Google Workspace, Zoom, QuickBooks, etc.)
•Highly organized and detail-oriented
•Friendly and approachable, with excellent interpersonal skills
•Able to handle confidential information with professionalism
•Comfortable in a fast-paced, dynamic environment with shifting priorities
•Bilingual (Spanish/English) is a bonus but not required

Schedule:
•Monday-Friday schedule (7:30am - 4:30pm)
•8-hour shifts, occasional weekend work depending on project timeline
Work Location:
Pacific Palisades, CA, and surrounding areas, with travel to the project site required
