Structured Restoration is an Emergency Restoration Company located in Northern Utah. We provide emergency mitigation services for property owners affected by flood, fire, mold and storm damages. We are looking to add an experienced office manager to our team.

As the Office Manager, you’ll be the operational heart of our company — managing communication, scheduling, administrative systems, and ensuring every customer interaction is smooth and professional. This is a key position with room for growth in a trusted, service-oriented company. The ideal candidate will bring a blend of administrative expertise, leadership, organization, and industry knowledge in Emergency restoration services to the role.

Responsibilities

Be the first point of contact for customers — answer calls and gather project details.

Manage project scheduling and technician assignments.

Oversee after-hours emergency response coordination.

Follow up with customers and insurance companies for collections.

Work in QuickBooks to manage billing and accounts payables.

Implement and improve admin processes and office systems.

Order materials and coordinate with subcontractors.

Keep our CRM and spreadsheets accurate and up to date.

Collaborate with the team to keep projects running smoothly.

Manage HR functions such as onboarding, timesheet tracking, and internal communications

Qualifications

2+ years of experience as an Executive Assistant, Office Manager, or similar role.

Background in property management, emergency restoration, or construction preferred.

Strong organizational and multitasking skills with a proactive mindset.

Proficiency in google workspace, excel, and quickbooksl; experience with project management or CRM tools is a plus.

Ability to handle confidential information with discretion.

Experience with insurance claims, property inspections, or vendor coordination is highly desirable.

Able to pass a background check.

Honest and hardworking.

Communicate clearly and confidently (written + spoken).

Are a self-starter who sees what needs to be done and takes action.

Care deeply about people and customer experience.

Love solving problems and finding better ways to do things.

Experience working with systems such as Xactimate, CompanyCam, and Restoration Management CRMs desired
