Position Overview:
We are seeking a proactive and highly organized Office Manager / Administrative Team Leader to oversee and lead our administrative staff across multiple offices. This role is pivotal in ensuring our internal operations run efficiently and that our design professionals receive the support needed to deliver top-tier project outcomes. The ideal candidate will bring strong leadership skills, excellent process oversight, and a service-oriented mindset to a collaborative, fast-paced environment.
Key Responsibilities:
•Lead, manage, and mentor a dispersed team of administrative professionals across all regional offices.
•Standardize and enhance internal administrative processes to improve consistency, efficiency, and accountability.
•Coordinate directly with architects, engineers, and project managers to assist with project documentation, scheduling, and deliverables.
•Monitor workload distribution and ensure the team provides timely and effective support across departments.
•Foster a positive team culture that aligns with the company’s values and commitment to excellence.
•Manage office logistics, supplies, and vendor relationships, as well as assist with onboarding and general HR coordination.
•Provide executive-level support to leadership as needed.
Key Traits & Qualifications:
•Demonstrate leadership and team management experience, preferably in a professional services or design firm.
•Strong organizational and multitasking abilities with meticulous attention to detail.
•Clear understanding of project workflows and administrative roles in supporting design deliverables.
•Excellent interpersonal and communication skills; ability to liaise effectively with both technical and non-technical staff.
•Proficient in Microsoft Office Suite and experience with project management or document control platforms (e.g., Deltek, Bluebeam, or similar) is a plus.
•Self-starter with the ability to work independently while managing priorities across multiple locations. Periodic travel is required.
•Bachelor's degree preferred; equivalent professional experience considered.
