Overview
We are seeking a dedicated and detail-oriented Office Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment, providing support to various departments, and enhancing overall productivity. The ideal candidate will possess strong organizational skills and a proactive approach to managing tasks efficiently.
Responsibilities
•Performs general clerical duties, such as maintaining files and office machines.
•Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
•Operate office equipment, such as fax machines, copiers, and phone systems and arrange for repairs when equipment malfunctions.
•Open, read, route, and distribute incoming mail and other materials.
•Create, maintain, and enter information into databases.
•Receive and file receiving/shipping paperwork accordingly.
•Communicates with Plant Manager and Leads daily to coordinate operational and administrative requirements.
•Assists with new hire orientation and the completion of required employment documents; sends and receives completed documentation to the Company HR/Payroll Depts.
•Coordinates and inventories supplies and materials for department.
•Acts as a resource for employees and management.
Skills
•High School diploma (or equivalent) required, Associate degree in Business Administration or related field preferred.
•Minimum 1-2 years of experience in a secretarial, clerical, or administrative assistant position required.
•An equivalent combination of related education, training and relevant experience may substitute for the education and/or experience requirements.
•Bilingual and able to read, write and speak Spanish proficiently is preferred.
•Strong clerical skills and computer proficiency with Microsoft Office applications.
•Working knowledge of, or the ability to quickly learn and utilize, Company software programs.
•Must be highly organized, possess astute administrative skills and be detail oriented.
•Strong interpersonal skills and the ability to communicate clearly, both written and orally.
•Ability to work with others to maintain a positive work environment.
•Ability to handle complex information with discretion and maintain the confidentiality of all company information.
•Must be adept at problem-solving, including being able to identify issues and resolve problems in a timely manner.
•Strong time management skills and the ability to prioritize and meet deadlines.
•Reliable with excellent attendance.
•Must be able to walk to and from production areas and work within or around them as needed.
Job Type: Full-time
Pay: $16.00 - $17.00 per hour
