Scope Of The Role Includes
Using their in-depth knowledge of Paraco products and solutions, the Office Administrator will provide effective customer service to internal and external customers supporting branch delivery operations. Essential Responsibilities Will Include But Not Be Limited To
- Answer calls & emails, assisting with billing questions, payments, issue resolution and delivery scheduling.
- Assist walk-in customers during office hours inclusive of dealer fill-ups and BBQ exchanges and handling payments.
- Ensure daily cash deposits are reconciled and processed properly and in a timely manner.
- Input orders into ADDs system for driver routes, and print driver route sheets.
- Schedule and review drivers’ work schedules.
- Review load sheets with dockworkers to ensure trucks are packed with the correct number and size of tanks.
- Send mileage sheets to truck leasing company.
- Issue credits/refunds to customers for overpayments when requested.
- Bill out all service work after coding.
- Daily, review evening shift log and month-end reports.
- Order supplies for the facility.
- Assist with clerical duties and special projects as needed.
We’re Looking For The Following Abilities And Skills
- Computer data entry skills coupled with experience with Microsoft Office and the ability to learn and use fleet management software including: Roadnet, Silent Passenger and ADD’s energy for facility and delivery operations.
- Effective written and oral communications skills for communication with staff, vendors and customers.
- A passion for excellence with a customer service focus coupled with strong interpersonal skills.
- High school diploma or general education (GED); or equivalent.
- Punctuality and dependability arriving on time evidencing a willingness to learn and grow.
- Mathematical skills with a 10-key calculator to perform basic functions (average, mean, etc.).
- Occasional travel (up to 5%) between field offices (South Plainfield/Mount Vernon) and Rye Brook corporate office.
- Hours of this position are 10:00AM to 7:00 PM Monday to Friday with a willingness and capability to work a flexible schedule (including occasional weekends and overtime) when needed.
