1. Develops and implements a comprehensive document retention policy, including determining which documents need to be retained, determining appropriate retention periods for different document types, and outlining procedures for storing and disposing of records.
2. Collaborates with legal and compliance teams to ensure the document retention policy aligns with relevant laws and regulations. Addresses any legal concerns related to document retention. Periodically assesses the document retention policy to assure that it remains effective and compliant with changing regulations.
3. Implements automated processes and/or software to help employees declare business records and conduct defensible destruction of records that should no longer be retained. Assesses onboarding software and tools for compliance with retention policies.
4. Educates employees on document retention procedures by providing training to employees on how to identify and manage documents according to the retention policy. Provides information governance and retention guidance when necessary to legal, IT, business users, information security, data privacy, and other professionals as needed.
5. Manages the electronic and physical storage of documents, including identifying and implementing appropriate security measures. Provides support for routine disposition process. Assures data or physical files subject to legal hold or retention are not inadvertently destroyed.
6. Identifies, develops, and manages resources for the Archives Program, including security and protection of Company assets in internal and external archival storage facilities.
7. Serves as the primary point of contact for all legal system-related issues, including implementation, testing, training, troubleshooting, and escalations. Works with cross-functional teams to ensure consistency and efficiency in system usage.
8. Manages vendor relationships and contracts for storage, destruction, and other services as needed. Assures compliance with standards regarding offsite storage and shred management.
9. Develops and monitors functional area budget to ensure efficient utilization of resources. Reviews and approves departmental expenses, invoices, and equipment orders.
10. Maintains adequate staffing levels to ensure proper administration of activities. Selects, develops, motivates, and evaluates the performance of assigned employees.
Bachelor’s degree in Business, Information Management, Information Technology, Legal, or a related field and six years relevant experience; or equivalent.
Experience in information governance in a high-performing professional organization. Utility or other highly regulated environment preferred.
Demonstrated broad knowledge of records, information management, and data protection laws, regulations, and best practices.
Information Governance Professional (IGP) or Certified Records Manager (CRM) preferred.
Experience with eDiscovery and Information Governance systems and technologies sch as Microsoft Purview, Veritas Enterprise Vault, or others.
Experience with email and other digital media investigations, retrieval processes, and information analysis procedures and protocols.
Exceptional communication and presentation skills required. Must be capable of articulating regulatory requirements and recordkeeping policies to internal and external stakeholders, including senior management and regulators.
Requires the ability to perform analyses involving ratios, percentages and simple statistical methods.
Intermediate knowledge of various software applications and computer skills to create standardized documents, reports, or graphics. General knowledge of database systems.
Requires occasionally performing activities including, but not limited to, bending, stooping, grasping, reaching, twisting, turning and/or lifting.
Ability to handle numerous projects and priorities simultaneously with professionalism and attention to detail.
