Position Overview:
The Materials Handling Coordinator provides essential administrative and coordination support to the shop, yard, and inventory operations. Reporting directly to the Manager of Materials Handling, this role is responsible for maintaining accurate documentation, organizing work orders, monitoring material movement, performing inventory adjustments, and assisting with communication between sales, operations, inventory, fabrication and logistics teams. The coordinator ensures that all paperwork, system entries, and reporting functions are completed accurately and on time to support efficient material handling and production workflows.
Key Responsibilities:
Work Order & Paperwork Management
•Print, organize, and distribute work orders, production tickets, and picking tickets to appropriate personnel.
•Track progress of open orders and ensure proper documentation is returned and filed after completion.
•Assist in verifying that materials pulled and staged match the job or delivery requirements.
Data Entry & Recordkeeping
•Enter receiving, transfer, and order completion information into the ERP system or internal tracking tools.
•Maintain accurate logs of work-in-progress (WIP), material movement, and completed jobs.
•Update status boards, spreadsheets, or software dashboards as directed by the Manager.
Support to Yard and Shop Teams
•Serve as a point of contact for Pullers, Will Call personnel, Yard Technicians, and Inventory team members for administrative needs.
•Help resolve paperwork discrepancies or missing documentation in a timely manner.
•Assist in the preparation and tracking of non-conformance reports, shortages, or rework items.
Inventory & Material Flow Support
•Process and document inventory adjustments, including returns, damaged items, or discrepancies within the ERP.
•Investigate and resolve discrepancies to maintain inventory accuracy.
•Coordinate and schedule inbound shipments, including rail and transloading operations, in collaboration with vendors, materials handling teams, and logistics departments.
•Assist with monitoring material availability and staging areas to ensure smooth flow through the yard and shop.
•Support the Inventory Supervisor or Inventory Specialists with clerical tasks during cycle counts, physical inventory, or material adjustments.
Communication & Coordination
•Maintain clear and professional communication with team members, drivers, inventory, and other departments.
•Communicate delays, shortages, or issues that may impact material movement or order fulfillment.
•Attend department meetings and assist with note-taking or task follow-up as needed.
Qualifications and Skills:
· High school diploma or GED required.
· 1–3 years of administrative, clerical, or operations support experience in a manufacturing, warehouse, or steel service environment preferred.
· Strong attention to detail and organizational skills.
· Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning ERP or warehouse management systems.
· Strong data entry and record-keeping skills.
· Ability to prioritize tasks in a fast-paced, dynamic environment.
· Clear communication skills and a collaborative attitude.
· Familiarity with steel products, work orders, or material handling processes is a plus.
Job Type: Full-time
Pay: $20.00 - $26.50 per hour
Expected hours: 40 – 50 per week
