Position Overview:
The Inventory & Purchasing Specialist supports and enhances the Company inventory management system, helping ensure material availability for production and effective inventory control using the Odoo ERP platform. This role plays a key part in improving purchasing efficiency through forecasting, material analysis, and support of bulk ordering strategies. While not directly responsible for the receiving processes, the Specialist will maintain accurate records of material movement, monitor stock levels, and provide ongoing inventory insights. This position reports to the Procurement Coordinator / Buyer and collaborates closely with production, engineering, and procurement teams.
- Identify, catalog, and organize all inventory parts and materials in the warehouse.
- Create and maintain part IDs, descriptions, and standardized naming conventions in Odoo. (The Company's ERP system)
- Establish and manage an accurate location system for inventory storage.
- Maintain a serial number tracking system for high-value or serialized items.
- Perform regular cycle counts, spot checks, and inventory audits to ensure accuracy.
- Monitor stock levels of critical and long-lead items, escalating shortages proactively.
- Assist in developing material forecasts based on project timelines and consumption data.
- Coordinate with the Procurement Coordinator to propose bulk purchasing strategies and reorder points.
- Collaborate with the Procurement Coordinator / Buyer to align stock replenishment with production needs.
- Assist in tracking open purchase orders and delivery expectations based on inventory forecasts.
- Help identify cost-saving opportunities through consolidation and long-term inventory planning.
- Support purchasing decisions with data from usage trends and historical demand.
- Maintain an organized and efficient warehouse layout using traditional racking systems.
- Oversee material movement within the warehouse and between staging, storage, and production areas.
- Implement lean warehousing practices and support continuous improvement in stock handling.
- Develop, print, and maintain standardized labels for parts and storage locations.
- Ensure part labeling is up-to-date and integrated with Odoo, including barcoding where applicable.
- Update labeling systems as products or storage methods evolve
- Maintain accurate inventory records in Odoo, including quantities, locations, and serial numbers.
- Generate inventory and forecast reports regularly to guide purchasing and production planning.
- Support finance and accounting teams with correct inventory valuations and audit trails.
- Assist in preparing and staging inventory for production or custom orders.
- Cross-check inventory availability for Bill of Material (BoM) items prior to job release.
- Coordinate with production teams to ensure timely availability of materials for manufacturing.
- Help identify gaps in inventory control and propose improvements to existing workflows.
- Develop and maintain Standard Operating Procedures (SOPs) for labeling, storage, inventory checks, and serial tracking.
- Train team members in new procedures and ensure ongoing compliance with inventory best practices.
- Education: High school diploma or equivalent; associate’s or bachelor’s degree in supply chain management, Logistics, or a related field preferred.
- Experience: 2+ years of experience in inventory control or warehouse management, preferably within a manufacturing environment. - Forklift Driving Experience: 2+ years forklift driving experience including sit down and standup lifts.- Technical Skills: Proficiency with ERP systems, preferably Odoo; strong understanding of inventory control practices and warehouse management systems.
- Organizational Skills: Exceptional attention to detail, organizational abilities, and capability to manage multiple priorities effectively.
- Communication: Clear verbal and written communication skills; ability to collaborate across departments.
- Physical Requirements: Ability to lift up to 50 pounds, operate warehouse equipment, and perform tasks involving physical movement within the warehouse.
