CORE Linepipe Inc. (“CORE”) is a privately held oilfield pipeline manufacturing and service company founded in 2012. The Company manufactures and installs a unique factory build pipe-in-pipe corrosion-resistant pipeline system. CORE’s Linepipe product called CORE Liner® uses an outer steel pipe for structural integrity and damage-resistance with a polymer liner inserted in the pipe for a reliable and durable corrosion-resistance barrier.
BRIEF DESCRIPTION OF RESPONSIBILITIES
The Inside Sales Administrator is responsible for supporting the sales team through quote management, system updates, project coordination, and general administrative duties. This role ensures accuracy and efficiency in sales operations and facilitates clear communication across departments.
DUTIES AND RESPONSIBILITIES
•Quote Management: Prepare, revise, and route sales quotes. Ensure all necessary services and cost items are included. Maintain consistent quote naming and supporting documentation filing.
•System and Data Management: Maintain and update sales systems (e.g., SPIRA), including price book entries, customer information, and job status tracking. Support data accuracy across sales and operational systems.
•Sales Reporting: Generate and manage regular sales reports to monitor project status and team performance.
•Meeting Coordination: Organize and participate in sales update meetings, internal project kickoffs, large project progress, and close-out meetings. Provide administrative support and ensure relevant documentation is prepared and shared.
•Project Award Communication: Prepare and distribute project award notifications using standardized templates.
•Cross-Functional Coordination: Collaborate with operations, engineering, finance, and supply chain teams to align project and order data across platforms.
•Invoice and PO Review: Review customer purchase orders and invoices for consistency with approved quotes and support the approval process.
•Marketing Support: Assist with basic marketing tasks such as social media content creation, document creation and coordinating with print vendors.
•Regulatory Reporting: Submit and manage U.S. regulatory reports and ensure records are organized and accessible.
•General Administrative Support: Provide backup support for team members as needed and contribute to various tracking and documentation efforts.
REQUIRED QUALIFICATION, EXPERIENCE, SKILLS & EDUCATION
•Strong organizational and multitasking skills.
•Proficiency in Microsoft Office, Spira, Microsoft Nav, Hubspot and social media marketing.
•High attention to detail and process accuracy.
•Excellent communication, collaboration and coordination abilities.
•3-5 years’ experience in sales administration or a similar support role is an asset.
•Post secondary education.
