Job Description
ECOH’s Mississauga Head Office is currently looking for a Group Coordinator to support their Environmental/ Subsurface Team. Reporting to the Operations Manager, The Group Coordinator will support the Project Managers and Project Teams in the co-ordination, administration, planning and control of the projects. The Group Coordinator will be the point of contact for internal clients in order to bridge the gap for information sharing across the company.
Roles & Responsibilities
Here is what you will be doing:
Projects
•Provide support to Project Managers to ensure that the agreed project management methods, standards, and processes are maintained throughout the project lifecycle and that projects are completed on time and efficiently.
•Assist Project Managers in the production and maintenance of project plans and ensure project deadlines are met in line with project scopes and changes and all documentation is maintained appropriately for each project.
•Support effective communication mechanisms between the project teams.
•Phase I ESAs – Contact and obtain any available pertinent information from regulatory agencies, such as the Ministry of Environment, Conservation and Parks (MECP), the Technical Standard & Safety Authority (TSSA), municipalities, etc.as part of the due diligence process.
•Provide coordination support of Potable water sampling programs on a national scale.
Meetings
•Organize and participate in regular status meetings, providing progress updates on assigned tasks. Schedule set up including the addition of new projects and ensuring closed projects are captured in CRM (Customer Relationship Manager).
•Document and follow up on important action and decision items.
•Assist in the preparation of presentation materials for team meetings including taking of meeting minutes.
Administrative
•Input and manage project data for various internal and external systems.
•Prepare proposals, template management, and maintenance of Insurance records.
•Track equipment and project supply inventory.
•Review project reports for quality assurance and quality control purposes with respect to data tables, logs, and formatting.
•Assist Project Managers with distribution of information and correspondence to Clients and subcontractors as required.
•Act as the administrator for Harmony and Salus systems (digital safety platform and reporting system) including invoice support and reports while maintaining the reporting systems.
•Co-ordinate the production of all reports and produce project summary reports.
•Maintain a list of Subcontractors used for various projects.
•Document Standard Operating Procedures.
•Performing data conversion/cleanup.
•Coordinate with the lab with respect to supplies and submissions.
•Coordinate with Equipment suppliers, ordering and maintenance of inventory.
•On rare occasions, provide secondary reception back up support.
•Prepare final deliverables (reports, printing, and binding, downloading, and uploading of project data to various sites or external memory devices).
Qualifications
Here are the skills you will possess:
•Certificate or diploma in Business Administration, Project Management, Technical and or Science background, an asset.
•1 to 3 years experience in a related position/field including Environmental knowledge.
•Knowledge and experience of Project Management methodology and processes, an asset.
•A high degree of computer literacy including advanced knowledge of the MS Office Suite, data analyses, general administration and a willingness and skill to learn new programs quickly.
•Strong time management skills in order to meet tight Proposal/Project deadlines.
•Strong technical skills, computer technology skills, analytical and presentation skills including PowerPoint.
•Strong organizational skills. Will be responsible for managing both proposals and project deadlines, simultaneously.
•Exceptional communication skills both written and verbal.
•Ability to work effectively both independently and as part of a team.
