Job Description
The Global IT PMO Project Lead for the Electronic Document Management System (EDMS) plays a critical role in managing the implementation, optimization of the deployed EDMS solution, and supporting the solution within the Redpath Group of Companies. This position is responsible for ensuring the system supports document control, compliance, and collaboration across geographically dispersed business units and teams while aligning with global operational objectives and delivering measurable value across the organization. The Global IT PMO Project Lead supports the project life cycles, providing guidance on Redpath’s ITPMO success criteria and project management processes. This individual will apply proven communication, analytical, and problem-solving skills to help maximize the benefit of IT system investments.
Responsibilities
Health and Safety:
•Having the authority and responsibility to maintain a safe and efficient working environment
•Following Company health and safety standards and reporting any unsafe acts or conditions
•Responsible for the use of all safety equipment, i.e. lanyards, warning signs and labeling, according to Company rules and applicable legislation and ensures the proper use of personal protective equipment
Strategy And Planning
•Maintain the roadmap for the EDMS, ensuring alignment with global business strategies, regional business goals and industry-specific requirements.
•Work with Solution Owner and participate in defining the vision for an EDMS to support Redpath businesses
•Coordinate input from regional system administrators to ensure the functionality of the EDMS solution remains relevant to the businesses.
•Prioritize system features and enhancements to support effective document control, regulatory compliance, and efficient workflows in corporate and field operations.
•Advocate for the adoption and consistent usage of the EDMS across regions to enhance operational efficiency and reduce risks.
•Set and continually manage project expectations with team members and other stakeholders.
Stakeholder Collaboration
•Collaborate with engineering, operations, commercial, safety, compliance, and IT teams to ensure the EDMS meets business and functional requirements.
•Engage with regional teams to gather feedback and address unique challenges, ensuring the solution is relevant and effective in diverse operational contexts.
•Work with vendors and third-party providers to manage system updates, integrations, and support services.
•Engage with regional teams to do system and master data compliance audits
Performance Management
•Monitor and analyze the EDMS’s performance ensuring secure storage, version control, and accessibility.
•Establish and track key performance indicators (KPIs) such as user adoption rates, review cycle times and compliance metrics.
•Identify opportunities to streamline workflows and enhance user experience based on performance data and stakeholder feedback
Delivery Oversight
•Lead and manage the deployment and regional implementation of the EDMS, ensuring seamless integration with other identified systems (e.g., ERP, LMS, InEight, etc.)
•Oversee the development of training programs for users at all levels, including project managers, field engineers, miners, office staff, and document controllers.
•Oversee the training of regional administrators, as well as assessment of new features during each cloud-based upgrade cycle.
•Address challenges such as managing large-scale document migrations, ensuring data security, and enabling offline access in remote locations.
•Participate in periodic licensing renewals and negotiations with vendor.
Operations Management
•Prepare and deliver reports, recommendations, or alternatives that address existing and potential trouble areas in operating systems, proposing solutions that are feasible and scalable
•Coordinate and perform in-depth tests, including end-user reviews
•Responsible for post-implementation hands on support
•Provide orientation and training to end-users for system
•Assess and amend any errors in a timely fashion
•Provide status reports where required
•Follow proper change management processes when performing any changes to solutions
•Work with and assist project teams on implementation or upgrades of business solutions
Continuous Improvement
•Stay informed about advancements in EDMS technology, industry best practices, and regulatory changes impacting document management in mining and construction.
•Lead initiatives in conjunction with regional administrators to enhance document workflows, automate processes, and incorporate advanced features such as metadata tagging, AI-driven search, and collaboration tools.
•Foster a culture of continuous learning, ensuring teams are equipped to maximize the value of the EDMS.
General
•Maintain confidentiality with respect to Redpath business and vendor information
•Support other members of the Corporate IT and business unit teams, as required

Qualifications
Education
•Required: College diploma or university degree in the field of management information systems or business administration (or similar)or 10 years relevant experience in document management system implementation and/or maintenance.
•Preferred: University degree in the field of management information systems or business administration (or similar), including document management certification
Work Experience
•Required: 5 years related work experience
•Preferred: 10 years related work experience
Knowledge Required
•Proven experience in overseeing the design, development, and implementation of software and hardware solutions, systems, or products
•Proven experience in the operation and analysis of database hardware, software, and standards, as well as data retrieval methodologies
•Proven experience in the field of document control
•Familiarity with industry standards such as ISO 9001, ISO 14001, or equivalent for document management and control.
•Working knowledge of current Microsoft network hardware, protocols, and standards will be beneficial
•Extensive practical knowledge in importing data for use in spreadsheets, graphs, databases, and flow charts
•Proven experience in Business Analysis with strengths in gathering and analyzing requirements, and proposing and executing solutions
•Excellent understanding of the organization’s goals and objectives
•Demonstrated project management skills
