Overview
We seek a dedicated and organized Front Office Assistant to join our dynamic team. This role is pivotal in ensuring the smooth operation of our front office, providing exceptional service to clients, and supporting the administrative functions of our family-owned company.
The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently.
Duties
•Greet patients warmly and assist them with check-in and check-out processes.
•Manage appointment scheduling and confirmations
•Handle phone inquiries, providing information about services, and answering questions.
•Coordinate with internal teams to ensure deliverables are met and communicate updates to clients in a timely manner.
•Log all client communications within 24 hours of interaction, including calls, emails, meetings, and notes.
•Monitor client activity and proactively follow up on key milestones or periods of inactivity.
•Process client payments and claims efficiently.
•Ensure the front office area is organized, clean, and welcoming for clients.
•Assist in administrative tasks as needed, including filing, data entry, and inventory management.
Experience
•SPANISH/ENGLISH BILINGUAL (required!)
•Previous experience as a receptionist or similar front office role is preferred.
•Strong organizational skills with the ability to manage multiple priorities effectively.
•Proficiency in computerized office management systems and standard office software.
