The Fleet Coordinator is responsible for overseeing the daily operations and long-term strategy of the company’s vehicle and trailer fleet. This role ensures regulatory compliance, cost-effective maintenance, and efficient scheduling to support business logistics and operations.
Key responsibilities include managing driver schedules and delivery documentation, processing delivery charges, and overseeing all fleet-related compliance filings including DOT, IFTA, UCR, IRP, and MCS-150. This role plays a critical role in approving repairs, coordinating the vehicle replenishment program, maintaining insurance and registration records, and updating internal procedures in the Supply Chain Playbook.
This position also manages ELD compliance, CDL driver logbooks, and vehicle inspections. Mechanical aptitude and a strong understanding of DOT regulations and electronic logging devices (ELDs) are essential. Additionally, the role involves creating and distributing company logos and stencils for jobsite branding, making local and long-distance equipment deliveries, and occasionally traveling overnight. The ideal candidate will bring extensive fleet management experience, a proactive approach to compliance and safety.
· Create and supply all logos and stencils needed for the site or equipment
· Make decisions and recommendations based on spending authority related to repairing or replacing vehicles and trailers
· Document processes/procedures related to vehicle policy and update the Supply Chain Playbook
· Oversee CDL driver hours of service logs and pre/post trip inspections
· Manage IFTA logs and file quarterly IFTA fuel tax returns
· Manage truck/trailer registration, insurance, annual inspections, GPS, maintenance, and repairs
· Manage annual and bi-annual registration of UCR, DOT, IRP, and IFTA
· Making deliveries and pickups, local and long distance, some overnight travel
