Position Summary: The Fleet Compliance Specialist ensures the company’s fleet and fuel operations comply with all local, state, and federal regulations. This includes managing key filings such as DOT, IFTA, and IRP, maintaining accurate vehicle records, and supporting insurance and reporting functions. The role serves as a critical link between fleet operations, compliance, and finance, ensuring smooth, lawful, and efficient fleet management.
· Maintain accurate and current records for vehicle registrations, titles, permits, and licenses.
· Collect, verify, and report mileage and fuel data for IFTA fuel tax compliance.
· Manage state IRP registrations and renewals, ensuring timely filings and documentation.
· Monitor and report on fleet-related costs (fuel, permits, maintenance, repairs)
· Reconcile fleet activity to ensure alignment with company financial records.
· Provide periodic reports on compliance status, fleet costs, and utilization to management.
· Assist in coordinating insurance claims for vehicle incidents or damages.
· Support DOT compliance, reporting, and operational audits as needed.
· 1–3 years of experience in transportation or fuel industry preferred
· Knowledge of DOT, IFTA, and IRP regulations preferred
· Strong attention to detail and recordkeeping skills
· Ability to manage multiple deadlines and compliance schedules
· Proficiency in Microsoft Office (Excel, Outlook, Word).
· Strong communication skills for collaboration with operations and finance teams.
