Northern Wasco County PUD is seeking an Executive Team Assistant II to join our vibrant and growing utility. This exempt, full-time position (40 hours per week) offers a flexible hybrid/remote schedule and the option of a 4/10 workweek.
GENERAL SUMMARY:
The Executive Team Assistant provides high-level confidential administrative support to the executive leadership team, ensuring the efficient operation of daily activities and strategic initiatives. This position requires a professional, resourceful individual who can manage multiple priorities with discretion, confidentiality, and a proactive approach. Responsibilities include managing calendars, coordinating meetings and travel, preparing communications and reports, and supporting special projects.

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS:
•Manage and maintain calendars for executive leadership, including scheduling meetings, appointments, and conference calls
•Coordinate complex travel arrangements, including flights, accommodations, itineraries, and expense reporting.
•Prepare, format, and proofread internal and external documents, presentations, and reports to ensure accuracy and professionalism.
•Organize and support meetings by preparing agendas, taking minutes, and tracking action items.
•Serve as a liaison between executives and internal/external stakeholders, ensuring timely and effective communication.
•Handle confidential information with discretion and maintain a high level of professionalism at all times
•Assist with the planning and coordination of company events and meetings.
•Perform general administrative duties including data entry, document management, and supply ordering.
•Support special projects and initiatives as assigned by the executive team.

Secondary Functions:
•Back up Executive Assistant in their absence.
•All PUD employees are expected to work outside of regular business hours when required during emergency restoration activities and to accomplish other special projects.
Skills/Knowledge/Abilities:
PLEASE NOTE: This position requires the use of various tools/equipment that are related to performing the essential functions of this job.
•Exceptionally strong proficiency in Microsoft Office Suite, including
•Word – advanced document formatting, templates, editing tools
•Excel – use of formulas, pivot tables, charts, and data analysis features
•PowerPoint – creating professional presentations
•Excellent proofreading and editing skills with a keen eye for grammar, punctuation, and formatting consistency.
•Strong organizational and time management skills; ability to prioritize multiple tasks and meet deadlines in a
fast-paced environment.
•Outstanding written and verbal communication skills, with the ability to communicate clearly and professionally across all levels of the organization.
•Ability to use a high degree of discretion and sound judgement when managing sensitive and confidential information.

QUALIFICATIONS:
Recommended Education, Training & Experience (includes licenses or certifications):
Other combinations of education and/or experience demonstrating the knowledge, skills, and abilities required to do the work will also be considered.
Education/Experience:
•High school diploma or GED required.
•Bachelor’s degree in English, business, or related field preferred
•Minimum Five (5) years of experience providing direct support to management.
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required.
•Experience working in the public sector or with government agencies is a plus.
