Position Overview:
We are seeking a highly organized, detail oriented and discreet Executive/Personal Assistant to provide high-level administrative and lifestyle support to the Principal of a luxury real estate firm. This role blends traditional EA duties with select paralegal and contract management functions, making it ideal for someone with strong communication skills, a keen eye for detail, and experience supporting high-net-worth individuals or executives in dynamic, fast-paced environments.
The ideal candidate will be proactive, polished, and comfortable managing both professional operations and personal logistics, while navigating sensitive information with integrity and confidentiality.
Key Responsibilities:
Executive Support:
•Manage the executive’s calendar, scheduling, and travel logistics (including international itineraries).
•Screen and prioritize high volume of emails, calls, and meeting requests.
•Prepare briefing materials, presentations, and confidential correspondence.
•Coordinate board meetings, internal team meetings, and client engagements.
•Handle expense reports, invoice approvals, and monthly reconciliation.
Paralegal & Contract Assistance:
•Assist in reviewing, organizing, and tracking real estate contracts, lease agreements, NDAs, and vendor/service contracts.
•Maintain digital and physical files for legal and transactional documentation.
•Support the coordination of closings, ensuring all parties meet deadlines and documents are properly executed.
•Liaise with attorneys, title companies, and escrow agents when needed.
Personal Support:
•Coordinate personal appointments, travel, and special events.
•Handle household and lifestyle-related tasks (e.g., gifting, reservations, errands).
•Act as gatekeeper and liaison for vendors, contractors, and private service professionals.
•Maintain a high level of professionalism and discretion in all personal matters.
Qualifications:
•3-5 years of experience as an Executive Assistant or Personal Assistant, ideally within real estate, legal, or luxury service industries.
•Some paralegal experience or familiarity with contracts and legal documentation is required.
•Excellent written and verbal communication skills (MUST BE FLUENT IN ENGLISH AND SPANISH)
•High proficiency in Microsoft Office Suite, Google Workspace, and cloud-based tools.
•Tech Savvy with the ability to quickly learn new applications, and platforms.
•Ability to multitask, meet deadlines, and adapt to shifting priorities with grace.
•Highly organized with strong attention to detail and follow-through.
•Professionalism, discretion, and sound judgment when dealing with confidential matters.
