C3 Alliance is seeking a highly motivated and dynamic individual with a passion for events and communications to join our team as an Events and Communications Coordinator in our Downtown Vancouver office.
As the Events and Communications Coordinator at C3 Alliance, you will play a key role in supporting the planning and execution of various events within the Natural Resources industry. You’ll collaborate closely with the Events Manager and Communications Manager to ensure seamless communications support, from initial event planning to post-event activities. Your responsibilities will include crafting engaging marketing content for e-newsletters, social media, and print materials, as well as supporting speaker and sponsor relationships. Additionally, you will oversee website updates and utilize virtual event software, all while enhancing the C3 Alliance brand through effective communication strategies and stakeholder engagement.

· Assist the Events Manager and the events team in the planning, execution, on-site management, and post-event wrap up for various events within the Natural Resources industry.
· Provide support to event speakers, sponsors, exhibitors, and delegates.
· Monitor the requests for each event’s designated email account.
· Respond to phone calls and email inquiries in a timely and professional manner.
· Support the Communications Manager in executing conference communications plans.
· Draft marketing and outreach content for multiple events including e-newsletters, social media posts, print materials, and hardcopy mailouts.
· Work with external graphic designers and print companies to design and coordinate conference print materials and signage.
· Oversee website management and perform regular updates.
· Collaborate with the Communications Manager to develop and enhance C3 Alliance's branding and communications strategies aimed at increasing brand awareness
· Prepare outgoing letters, packages, and mail merges as requested in a timely manner.
· Maintaining excel trackers for programs, speakers, and sponsorships.
· Updating contact mailing lists and tracking incoming sponsorship and tradeshow requests.
· Assisting with monitoring and tracking project tasks and deadlines.
· Collect and compile feedback forms and other data as needed.
· Assists with organizing and maintaining physical and digital files.
· 2+ year experience in communications and event planning required. Experience in marketing and public relations is considered an asset. Experience updating and managing websites using WordPress or other content management systems (CMS) (required).
· Experience creating and managing email newsletters using tools such as MailChimp, Constant Contact, or similar platforms (required).
· Social media management – experience with platforms like LinkedIn, X (Twitter), Facebook, and Instagram (required).
· Graphic design basics – familiarity with Canva, or similar tools.
· Ability to demonstrate accuracy and attention to detail.
· Ability to work independently and anticipate the needs of the team.
· Experience working with the Canadian provincial or federal government or on government-funded projects is an asset.
· Familiarity and understanding of the B.C. political system and knowledge of the natural resource landscape is an asset.
· Monday to Friday - 40hrs per week.
· Some travel and work may be required outside of the hours listed above for conferences.
· One Year Employment contract with potential to renew.
