The Early Learning Department Support Assistant provides administrative and fiscal support for the early learning programs. He/She provides excellent customer service for families and technical support to early learning program employees. The Department Support Assistant facilitates the efficient operation of the office and provides clerical services requiring a broad knowledge of office practices and procedures with a goal of promoting and facilitating the policies and philosophies of the Early Learning Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES : include the following
•Facilitates the efficient operation of the Early Learning office and provides administrative support for the department staff and programs as assigned
•Receives and screens visitors and telephone calls, composes correspondence; responds to inquiries/complaints on a variety of matters as directed and refers callers/visitors to appropriate district staff
•Processes applications, enrollment, recruitment, finalizes placement and enters attendance for early learning programs in student information systems for purposes assigned, may assist with other systems
•Tracks staff attendance and assigns placement of early learning substitutes where needed, working closely with Early Learning Program Manager
•Prepares and maintains a detailed department efficient filing system for the immediate retrieval of reports, records and relevant documents of personnel and students as directed, maintaining confidentiality
•Schedules calendar events, reserves facilities and prepares meetings, exhibits, trainings, delivering MOPID approved professional learning as assigned, enters attendance into district and state database where necessary, attends department meetings
•Prepares and assembles resources, mailings and curriculum materials and documents for early learning programs and coordinates the inventory, organization, preparation and delivery of inventory, equipment and supplies as necessary
•Prepares monthly invoicing, orders, performs bookkeeping activities including processing and entering payrolling and paid time off
•Provides all fiscal information requested for early learning program audits on a timely basis, and tracks annual department expenditures ensuring budgets are not exceeded
•Collaborates with KCPS Treasury office for all payments, billing and collection of fees for early learning, including receiving and processing cash payments in accordance with KCPS money handling guidelines
Enters and submits subsidy and subsidy reimbursement requests and accurately applies

payments to accounts, ensuring timely payment of all accounts receivable
•Orders curriculum supplies and materials for early learning programs and supports requisitions and ordering when appropriate
•Utilizes relevant district software and technology effectively in the performance of duties

•REQUIRED QUALIFICATIONS:
•+ Associate Degree with core studies in accounting, business administration, administrative, secretarial or executive secretarial field or other closely related field
+ One (1) or more years of experience in accounts payable, fee collection or other financial accounting duties.
Sixty (60) hours of college coursework and/or secretarial or early learning experience may be substituted for two years of experience.
PREFERRED QUALIFICATIONS:90% proficiency on written clerical skills assessment, ability to type minimum of 70 net wpm, 10-key proficiency
