Edgewater Technical Associates is seeking qualified candidates for a Document Control Specialist to support the Savannah River Site.
The Document Specialist is responsible for managing the entire lifecycle of controlled documents related to Savannah River Site (SRS) operations, engineering, and maintenance activities. This role requires expert-level proficiency in document control processes and experience with enterprise content management (ECM) systems, specifically IBM Maximo or OpenText Documentum. The specialist will ensure all documentation is accurate, compliant with regulatory standards, and easily accessible to authorized personnel.
- -Manage the intake, processing, and archival of both electronic and physical documents, including technical manuals, engineering drawings, procedures, and quality assurance records.
System Administration- -Perform administrative and user support tasks within the designated ECM system (Maximo or Documentum). This includes managing user access, system configurations, and permissions.
Version Control- -Maintain strict version control for all controlled documents to ensure the most current versions are in use throughout SRNS operations.
Workflow Coordination- -Initiate, track, and complete document workflows for review, approval, and release, coordinating with authors, reviewers, and management.
Regulatory Compliance- -Ensure all document management practices adhere to internal SRNS policies, Department of Energy (DOE) orders, and other regulatory requirements.
Data Migration and Integrity- -Assist with data migration projects to move content between systems or update databases, verifying the integrity and security of the information throughout the process.
Audit Support- -Prepare and provide documentation to support internal and external regulatory audits and inspections.
Records Retrieval- -Respond to requests for documents from various departments, providing timely and accurate information retrieval.
Training- -Provide training and support to end-users on document management procedures and the use of the ECM system.
Continuous Improvement- -Identify and propose recommendations for improving document control processes and system functionalities.
- Bachelor's degree in Information Management, Computer Science, or related technical discipline, or equivalent work experience.
- Five (5+) years of demonstrated experience as a Document Specialist, Document Controller, or in a similar role within a highly regulated industry (e.g., nuclear, energy, or government).- -Proven experience using or administering Maximo for asset management and work order-related documentation is required.
Documentum- -Alternatively, strong experience in configuring, maintaining, or developing applications on the OpenText Documentum platform (e.g., D2, DQL, DFC) is required.
- Excellent organizational skills and strong attention to detail.
- Ability to communicate complex technical concepts clearly to non-technical staff.
- Experience working in a team-oriented environment and collaborating with cross-functional teams.
- Experience in the nuclear or defense industries.
- Knowledge of DOE orders and regulations concerning information and records management.
- Experience with other document control tools and methodologies.
