JOB OVERVIEW
Billing Coordinators at Powerline Plus Ltd. play a vital role in supporting the successful execution of civil construction projects by planning, organizing, directing, and overseeing key activities under the guidance of the Civil Managers. This dynamic and fast-paced position demands strong multitasking abilities, critical thinking, and seamless coordination across multiple ongoing projects. The role is approximately 80% office-based, with the remaining 20% dedicated to on-site visits and participation in construction-related meetings.
As integral members of the project team, Civil Project Coordinators are actively engaged throughout the project lifecycle. They foster strong working relationships with a wide range of stakeholders, including foremen, site supervisors, electrical project coordinators, fellow billing coordinators, senior management, clients, and various external partners, ensuring that communication remains clear, consistent, and aligned with project goals.
SKILLS & QUALIFICATIONS
•Completion of a College Diploma or University Degree in Project Coordination, Project Management, Civil Engineering, Architectural Design or related discipline required
•Experience using MS Project to track schedules, milestones, and project timelines.
•Valid 'G' Driver's License with a clean driving record, enabling site visits and travel between project locations.
•Understanding of infrastructure design, planning, and execution processes.
•Strong understanding of underground utility locates, permit processes, and municipal requirements.
•Ability to juggle multiple tasks and deadlines in fast-paced project environments.
•Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) proficiency for reporting, documentation, and communication.
•Effective at working with cross-functional teams including field staff, supervisors, clients, and external stakeholders.
•Comfortable working in outdoor environments and adverse weather conditions
DUTIES & RESPONSIBILITIES
•Work in coordination with the Locates Coordinator to ensure accurate and timely completion of utility locates as per project requirements.
•Submit Notices of Project (NOP) through the Ministry of Labour’s online system to ensure regulatory compliance.
•Coordinate with the Estimating and Construction Support teams by providing necessary drawings and UPCMS sheets for material requisition.
•Request project-specific job numbers from the Billing Department to support accurate project tracking.
•Schedule and lead pre-construction site meetings with City of Toronto officials to review project scope and determine permit needs, pay duty requirements, and work restrictions.
•Submit road activity details to the City of Toronto's RoDARS system to ensure traffic disruption updates are accurately reported.
•Communicate with external parties (e.g., Metrolinx, CN Rail) to resolve conflicts involving railroad crossings.
•Assemble project job binders and manage documentation, including permit tracking and extension requests as needed.
•Attend client preconstruction meetings and support project closeout by submitting completion reports.
