Summary of Position
The Compliance Administrator primary responsibilities are focused on ensuring contract compliance to specifically required clearances such as: Pre-employment, Post Accident, Random, Reasonable Suspicion Drug Tests, Criminal Background and any other type or levels required by a client’s contract and/or a specific job duty. Core job duties are time sensitive and highly confidential. Along with Compliance responsibilities, this position will assist in general office and administrative responsibilities as assigned.
Essential Job Requirements:
•Responsible for ensuring compliance and consistency on all pre-hire clearance requirements including; drug testing and background checks. Uses checklists and Viewpoint to ensure consistency.
•Responsible for tracking and maintaining all new hires in the onboarding process with proper forms needed for each specific clearance requirement(s) In the event there is a problem the Compliance Administrator will communicate with all parties involved and most importantly the Hiring Manager.
•Submits, tracks and maintain background check information into Viewpoint; ensuring proper release forms are obtained.
•Responsible for setting up new collection site locations and background check vendors for all clients and safety as requested.
•Responsible for overseeing the clients drug screen programs including DOT and Non-DOT random testing program
•Tracks and follow-ups on all employee programs to ensure compliance, including reasonable suspicion testing.
•Communicates with clients, employees, and Medical Review Officer (MRO) on all positive test results and SAP requirements.
•Obtains approvals from HRD and P&L leader for failed backgrounds and positive test results.
•Conducts termination audits to ensure terminations are removed from the consortium rosters.
•Conducts annual audits to ensure continued compliance.
•Responsible for tracking employee follow-up programs to ensure compliance.
•Coordinates with DISA to set pre-employment tests for new hire for all clients.
•Trains new Admin in DISA and Viewpoint processes.
•Responsible for setting up and being the primary contact for Safety Council for new users, billing, issues and concerns.
•Coordinate efforts with A/P (Accounts Payable) to ensure invoices and annual dues are paid.
•Responsible for occasional after-hours urgent matters requiring compliance assistance.
•Will be put on a rotating on call schedule.
•Other related duties as assigned.
Required Education
•High school diploma required or equivalent
•Some College and/or Training preferred.
Required Experience
•3+ years of experience in a similar compliance related role
•5+ years of directly related general office experience. (Ex: handling confidential materials, legal matters, or other similar types of materials or records in an HR environment).
•Working knowledge of DISA application processes
•Working knowledge of Compliance related processes

•Must have the ability to work in a high volume and fast pace work environment.
•Must be organized, analytical and have a sense of urgency for time sensitive delivery.
•Ability to understand and operate in an environment with regulatory/compliance requirements.
•Ability to handle complex customer service issues in a professional manner, exercising good judgment in dealing with sensitive issues.
•Attention to detail, able to document the results of their activities in a consistent, positive, and supportive manner when working with employment applications and hiring managers.
•Must have strong teamwork skills and effective interpersonal skills; along with strong written and verbal communication skills.
