Job Title: Client Manager in Training (CMIT) – Executive Admin
This is a transition role in which the incumbent will have partial Client Management in Training (CMIT) responsibilities and partial Executive Assistant (EA) responsibilities. The purpose of the role is to allow the incumbent to begin training in the complex responsibilities and knowledge required to successfully operate as a Client Manager in Training on a full-time basis. The time spent in the dual role will depend on the needs of the business and the assessment of the assigned Client Manager Mentor.
As a CMIT, the incumbent will be responsible for co-managing all aspects of the client relationship with assigned municipal utility district boards. As an EA, the incumbent will manage information requests and coordinating information from multiple departments to create and deliver accurate and timely monthly reports. This position will report to the Assistant Vice-President of Business Relations.
· Communicates with assigned MUD boards and ensures that boards and MDS are provided on at least monthly basis information about MDS performance within the district. Attends all assigned board meetings.
· Manages the relationship between the assigned MUD boards and MDS. Serves as the first point of contact for board members and district consultants. Functions as a liaison between board members and operations staff in resolving any issues or problems.
· Performs long-term planning so that MDS provides services in the most cost-effective manner within assigned districts.
· Responsible for conducting administrative and /or strategic activities involving monitoring, evaluating, formulating and analysis of contracts.
· Monitors the financial performance of assigned districts and makes recommendations to management, as appropriate.
· Analyzes the assigned district needs to determine what, if any, other services that MDS offers would be of benefit to the district. Market the service(s) to the district, as appropriate.
· Functions as a backup Client Manager for districts assigned to other Client Managers. Periodically attends board meetings in other districts.
· Develop strong working relationships with Field Supervisors, Regulatory Compliance, and other departments to deliver the best quality service to our client districts, builders, and the consultant community.
· Ensure effective data management through use of various excel spreadsheets and documents to provide necessary data for the assigned monthly Operations Reports to ensure reports, bulletins, and alerts are completed and delivered in a timely and accurate manner.
· Act as an expeditor to research and resolve district issues and provide support for Contract Managers in documenting and presenting information to districts as needed.
· Coordinate and manage logistics for client events: communication, food and beverages, entertainment, scheduling, etc. Coordinate special events like tours in districts including creating the gift bags and/or handouts for the tours.
· Prepare time reports, expense reports, and organization charts as needed for the department.
· Maintain the board and consultant database to ensure information remains current and available to the CMs and Executives
· Manage the IRIS Messaging for the various districts and create client bill inserts, communications, etc.
· Handle special projects for the CMs which may include: rate order analysis, meeting follow up, rate order changes, Larry’s toolbox administration, Water Smart Meter Program Administration, SSOI, and special reports for engineers.
· Write letters, memos, reports, agreements, exhibits and general business correspondence as needed. Prepare presentation materials, including charts, graphs, and slides.
· Work in business systems such as AVR and Adjutant.
· Ability to adapt your communication style to a variety of different audiences with an emphasis on upper management and the Board of Directors.
· Ability to maintain client ready demeanor in terms of professional image, attire, language, and business etiquette.
· Water industry experience is preferred, but not required.
· Detail oriented, organized and able to prioritize, excellent time management and decision-making skills.
· Must be self-motivated and able to work well under pressure within a fast-paced environment with strict deadlines.
· Adept at quickly earning trust, confidence, and respect to build positive relationships with clients, colleagues, and senior management team.
· Excellent communication, management, and interpersonal skills, with the ability to identify issues and solutions and ensure timely project completion with minimal supervision.
· Excellent PC skills, with intermediate level of proficiency in various computer applications MS Office (Word, Excel, Access, Outlook) with the ability to handle multiple projects in a fast-paced environment.
· Have the ability to be flexible and sophisticated enough to work with any accounting system with a fundamental understanding of basic bookkeeping techniques.
