Position Overview:
We’re seeking an experienced, highly organized, and motivated Office Operations Manager to oversee the daily administrative and operational functions of our expanding organization. This position is critical to the flow of communication between departments, stakeholders, vendors, engineering, permitting authorities, and external partners.
Key Responsibilities:
As the Office Operations Manager, you will play a pivotal role in the day-to-day success and long-term scalability of US Solar Enterprise. You will be the operational backbone, driving coordination across departments and ensuring efficiency from contract to close-out. Your responsibilities will include, but are not limited to:
Project & Scheduling Coordination
•Oversee calendar management for all active jobs including site surveys, installations, service calls, inspections, and post-install QA visits
•Dispatch crews and coordinate schedules with installers, electricians, and subcontractors to ensure seamless on-site execution
•Collaborate with the Operations and Sales teams to implement and manage real-time job tracking systems for better project visibility and accountability
•Anticipate scheduling conflicts or material delivery delays and quickly adapt to keep jobs on track
Office & Field Communication Systems
•Establish and maintain clear lines of communication between the office, field technicians, sales reps, and customer service
•Implement new procedures and software tools that streamline document management, permit filing, and internal communication
•Create systems to bridge customer service and quality assurance, ensuring feedback loops are in place and customer issues are resolved promptly and professionally
Permitting & Compliance
•Develop and maintain professional relationships with local Authorities Having Jurisdiction (AHJs), building departments, and utility providers to expedite permitting and inspection processes
•Manage all documentation and submissions related to permits, interconnection applications, engineering plans, and insurance compliance
•Track expirations, resubmittals, and AHJ updates to prevent delays and ensure 100% compliance on all projects
Sales & Project Alignment
•Conduct weekly and bi-weekly “Job Flow Strategy Meetings” with Sales Managers and Project Managers to review project readiness, pipeline forecasting, and deal handoffs
•Serve as a key support role for sales organizations (channel partners), ensuring smooth communication and transition from signed contract to engineering and permitting
•Monitor bottlenecks and proactively resolve operational friction between departments
Strategic Growth & Systems Development
•Create and enforce daily and weekly office performance goals related to job flow, customer service metrics, and permit processing
•Collaborate with executive leadership to implement growth strategies, operational KPIs, and workflow improvements
•Constantly evaluate and upgrade internal systems for task management, CRM updates, and inter-department workflow
•Support executive decision-making by providing transparent reporting and performance summaries

•Act as the primary liaison between US Solar and NYSERDA, banks, manufacturers, and vendor accounts
•File and manage all solar and construction permits with local municipalities and jurisdictions
•Collect, organize, and submit project data to engineers for plansets and interconnection
•Oversee communication and coordination with sales partners, channel organizations, and subcontractors
•Conduct weekly meetings with internal staff and sales affiliates to monitor pipeline performance
•Prepare and submit daily and weekly growth strategy updates to the executive team
•Ensure operational compliance with utility, engineering, and municipal requirements
•Support insurance claim documentation, filing, and follow-up
•Manage document notarization, contract processing, and CRM updates
•Coordinate logistics for roofing, restoration, and solar installation schedules
Qualifications & Requirements:
•Certified Notary Public (required)
•2-5 years of solar industry experience (required)
•1+ year of experience in electrical engineering or support (required)
•1+ year experience in filing building permits (required)
•1+ year of company or office management experience (required)
•Strong background or familiarity with NYSERDA, NY DOB, utility interconnection processes, and permitting
•Excellent written and verbal communication skills
•Proven leadership in cross-functional office or construction environments
•High level of professionalism, initiative, and problem-solving
•Proficient in CRM systems, Microsoft Office, Google Workspace
