Bookkeeper & Office Manager

About Us:
SwitchBack Property Management is a fast-growing, systems-driven property management firm transitioning from managing only our own portfolio to managing for third-party owners. With a goal of managing 500+ units, we’re building strong infrastructure and need an experienced Admin / Bookkeeper / Accounting Manager to ensure financial clarity, administrative consistency, and operational excellence.
Position Overview:
The Admin / Bookkeeper / Accounting Manager is responsible for financial accuracy and compliance across our operations. You will manage mail processing, reconcile monthly accounts, oversee documentation workflows, and support internal systems with precision and care. This role ensures smooth day-to-day bookkeeping and administrative consistency—critical to the growth and trust of our owner clients and tenants.
Key Responsibilities:
Administrative Operations
•Process incoming mail and email; scan and sort by category
•Prepare lease packets, notices, renewals, and related documents
•Upload and organize digital files (inspections, invoices, photos, leases)
•Follow SOPs and suggest changes to the property management team
Bookkeeping & Accounting
•Reviewing invoices from maintenance vendors and processing them in Appfolio
•Enter bills into AppFolio and QuickBooks
•Process owner draws, vendor payments, and deposits
•Track reserve balances, per-unit repair costs, and capital expenditures
•Work with CPA and owners to prepare monthly and year-end financial reports
•Prepare 1099s and assist with tax prep
•Reconcile accounts monthly in AppFolio
Compliance & Document Management
•Track and notify about renewals for licenses, insurance, and key compliance tasks
•Maintain audit-ready digital filing system
•Ensure accurate documentation for tenants and owners (e.g. receipts, signed forms, move-in packets)
Ideal Candidate Will Have:
•Property management software experience (AppFolio preferred)
•Experience with QuickBooks, Google Drive, and digital document management
•Strong organizational skills and attention to detail
•Familiarity with vendor payments, owner reporting, and security deposit tracking
•Clear, professional communication and an ability to manage deadlines without supervision
•Desire to build systems and improve workflows, not just follow them
Preferred but Not Required:
•Experience supporting a company in rapid growth
•Knowledge of Minnesota housing and landlord-tenant compliance requirements
