Job Summary:
We are looking for a detail-oriented and organized Billing Specialist to join our team. This role is responsible for preparing and submitting accurate customer invoices, maintaining billing records, and ensuring compliance with contract terms. The ideal candidate will have strong analytical skills, excellent communication abilities, and a commitment to providing outstanding service to both internal teams and external customers.
Responsibilities:
•Prepare and submit accurate and timely invoices to customers, including entry into customer-specific billing platforms or portals.
•Review employment and project documentation to ensure billing aligns with contract terms and approved work.
•Maintain and update billing records and documentation for audit and reporting purposes.
•Ensure customer billing conforms to the provisions of utility and service contracts.
•Investigate and resolve billing discrepancies or customer inquiries in a professional and timely manner.
•Generate and analyze billing reports to support internal teams and customer requirements.
•Collaborate with operations and payroll teams to ensure billing accuracy and alignment with employee time and project data.
•Assist customers with billing-related questions, balancing issues, and portal navigation.
•Support the billing department during peak periods or staff absences.
•Maintain confidentiality and accuracy in all billing-related activities.
•Perform other billing-related duties as assigned.
Requirements:
•Working knowledge of company billing policies and procedures.
•Strong attention to detail and ability to manage large volumes of data accurately.
•Proficiency in Microsoft Office, especially Excel; ability to learn billing software systems.
•Excellent communication and customer service skills.
•Ability to work independently and collaboratively in a fast-paced environment.
•Familiarity with utility or service contracts is a plus.
•Commitment to maintaining confidentiality and professionalism in all interactions.
