Responsibilities:
•Process job setups and document and process job closeout
•Communicate day to day activities of the employees with the Field Supervisor and maintain a physical schedule of events
•Assist with coordination and scheduling of sub-contractors and deliveries (i.e., crane lifts, equipment rentals, deliveries)
•Process monthly AIA, change orders, etc.
•Assistant in business development including tracking bids, collecting and analyzing sub-contractor bids, entering bid proposals into HubSpot, etc.
•Become proficient at entering and retrieving data from the Interstate AC Service operating system and document storage system (Sage Construction or Procore)
•Order and track equipment for sales and field personnel; provide updates to PMs and field supervisors
•Complete and file permits, call-in, and track inspections, as requested
•Gather and copy job close-out data (O&M documents, As-built drawings, and air balance reports) for delivery to the customer
•Current or previous work experience in the Construction or Building Service industry providing administrative support
•Service coordination or project management experience for a service contractor (preferably mechanical and plumbing)
•Ability to work independently without direct supervision
•Courage to make informed decisions without outside input
•Organizational and superior follow-up skills
•Ability to handle a fast-paced workload and work under pressure with last-minute time constraints
•Ability to deal diplomatically and communicate effectively with internal and external customers
