The Nebraska Alliance is seeking a full-time position for Assistant Director of Operations. This position manages and enhances the organization’s internal systems, data collection, and quality improvement to support its mission. This role oversees financial and grant management, ensures compliance with internal policies and regulatory requirements, coordinates contracts and vendor relationships, and maintains efficient workflows and documentation. Additional duties include supporting digital collaboration, supervising administrative processes, managing website maintenance, and collaborating with the Executive Director on strategic planning and organizational alignment.
Assistant Director of Operations Responsibilities:
•Oversee the collection and analysis of internal data and quality improvement initiatives to help the Nebraska Alliance evaluate its impact.
•Support financial operations by developing and monitoring budgets, tracking grants, and researching new funding sources.
•Collaborate with leadership to set meeting agendas and maintain a consistent schedule of internal meetings for clear communication.
•Manage contracts, agreements, and vendor relationships, including engagement of contractors and consultants.
•Create, implement, and maintain efficient workflows and documentation systems to strengthen internal processes, ensuring compliance with policies and grant requirements.
•Oversee procurement, monitor vendor contracts, and maintain accurate records and timelines.
•Manage entries and reconciliations in QuickBooks Online, monitor grant expenses, and assist with financial reporting and forecasting.
•Supervise digital collaboration platforms such as Microsoft Teams, SharePoint, Outlook, DocuSign, Google Suite, Zoom, Canva, and Mural to ensure secure collaboration and strong document management.
•Maintain file organization, access permissions, and secure document sharing. Lead virtual meetings and training for effective remote collaboration.
•Ensure administrative paperwork from staff and member CACs is completed and submitted on time, and keep compliance checklists for grant requirements.
•Arrange travel, manage office supplies, and oversee equipment tracking.
•Assist in implementing strategic plans and policies, oversee ongoing data collection and evaluation, and supervise the organization’s website maintenance, updates, and security to ensure optimal performance, accessibility, and compliance with privacy guidelines.
•Perform additional duties as assigned to support organizational needs.
Pay and Benefits
The starting salary for this full-time, exempt position is $70,000.
The Nebraska Alliance offers flexible work arrangements, including the option to work remotely up to two days per week. Additional benefits include a 403(b) retirement account with employer match, 13 paid holidays a year—including office closure between December 25th and January 1st—personal days, 18 days of paid time off in the first year of employment, ten weeks of paid family and medical leave in qualifying circumstances, time off to volunteer at local non-profits, and an employee assistance program.
