AR/AP Specialist

We’re looking for an AR/AP Specialist to support the Accounting team with day to day activities focused on invoice and vendor bill processing and reporting.

Reports to: Accounting Manager

Position Summary:

The AR/AP Specialist will be responsible for the full cycle of accounts receivable and accounts payable activities. This includes creating and submitting customer invoices, managing incoming payments, processing vendor bills, and ensuring timely disbursements. This role requires a strong understanding of accounting workflows, ERP systems (Oracle NetSuite preferred), and the ability to work in a fast-paced environment supporting the supply chain and sales operations teams.

Key Responsibilities:

Accounts Receivable (AR):

- Create and submit customer invoices based on sales orders and delivery tickets

- Monitor and follow up on outstanding balances and overdue accounts

- Apply payments and credit memos accurately in NetSuite

- Communicate with customers to resolve billing issues and discrepancies

- Prepare and maintain AR aging reports for internal review

- Support month-end closing and cash forecasting

Accounts Payable (AP):

- Process incoming vendor invoices and ensure appropriate coding and approvals

- Maintain vendor records and payment terms

- Reconcile vendor statements and investigate discrepancies

- Maintain AP aging reports and assist with accruals during month-end close

General:

- Work closely with the sales, operations, and supply chain teams to ensure financial accuracy

- Maintain organized and audit-ready records in accordance with company policies

- Support the Controller with reporting, audits, and special projects

- Recommend process improvements to enhance AR/AP efficiency and accuracy

Qualifications:

- 2+ years of experience in both AR and AP roles, preferably in a distribution or supply chain environment

- Experience with NetSuite or similar ERP system strongly preferred

- Knowledge of basic accounting principles and financial reporting

- Strong attention to detail, organizational skills, and ability to prioritize in a fast-paced environment

- Effective communicator with problem-solving mindset
