Job Summary
We are seeking a highly organized and motivated candidate that MUST have experience of 1 - 3 years working in an administrative support position for Life Safety service and inspections. The position supports our field teams that perform fire, sprinkler, fire hydrant, fire pump and back flow service and inspections. This role is essential in providing excellent support to our internal and external customers. The ideal candidate will possess strong administrative, organizational, communication and time management skills. We are a MAC company. Knowledge or experience in Numbers, Pages, Adobe and Apple programs is a plus. This position requires a proactive approach to handling various tasks, someone who can work independently as well as with a team. The position will start as part time that will progress to full time after the first 90 days. We require drug screening and background check to be completed prior to being hired.
Responsibilities
•Greet and assist visitors in a friendly and professional manner.
•Manage incoming calls, directing them to the appropriate personnel or taking messages as necessary.
•Work with the field staff providing admin support
•Perform general administrative tasks including filing, creating and maintaining spreadsheets, entering information into third party portals.
•Provide support for various office functions, including document preparation and correspondence.
•Assist with customer inquiries and provide information about services offered.
•Collaborate with team members to improve office processes and enhance productivity.
Experience
•Proven experience as an administrative assistant or field staff support is required.
•Familiarity with office management procedures and basic accounting principles is a plus.
•Proficient in using phone systems, MAC software (e.g., Apple Numbers, Pages), and other relevant technology.
•Strong organizational skills with the ability to manage multiple tasks simultaneously.
•Excellent communication skills, both verbal and written.
•Ability to work independently as well as part of a team.
•Previous experience in the Life Safety Industry is a must.
