We are seeking a motivated and detail-oriented Administrative Associate to provide essential support to our Finance and Field Operations teams. This role involves a mix of administrative, HR, and operational support tasks — including invoicing, insurance, report generation, third party scheduling, managing records, and providing technical support for business applications.
The ideal candidate is reliable, organized, efficient and proactive, with excellent communication and problem-solving skills. Bilingual in English and Spanish is a strong plus.
- Provide day-to-day administrative support for office and field operations
- Assist with HR tasks including payroll tracking, recruiting, onboarding, and training new employees
- Coordinate insurance policies and claims handling
- Support scheduling for crews, fleet maintenance, and route management
- Maintain inventory records and assist with asset tracking
- Generate and track operational reports, including completion reports and materials usage
- Learn and provide technical support for business applications (e.g., Workforce Time, SiteDocs, Azuga)
- Handle customer service inquiries professionally and efficiently
- Manage document control including data entry, scanning, and file management
- Assist with social media and basic marketing tasks (Google, Yelp, Facebook)
- High School Diploma or GED
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Drive
- Strong written and verbal communication skills in English
- Ability to multitask and stay organized in a fast-paced environment
- Reliable transportation and a valid driver’s license
- Previous customer service or administrative experience
- Problem-solving skills and the ability to work both independently and on a team
- Bilingual in English and Spanish
- Experience with tools such as QuickBooks, SiteDocs, or Workforce Time
- Familiarity with inventory or asset management systems
- Experience supporting HR, scheduling, or field operations teams
- Knowledge of social media platforms for company marketing purposes
