We are seeking a detail-oriented and proactive Administrative Assistant to provide administrative and inventory support to our service centers and maintenance teams. This role is essential to ensuring smooth operations, accurate records, and timely procurement of parts and materials.
- Provide regional support to the service center and maintenance supervisor.
- Assist with day-to-day administrative and clerical functions. Support the regional mechanics and supervisor.
- Provide support with purchase orders, standard repairs, and vendor repair orders.
- Perform records management.
- Support backfill opportunities as needed.
- Maintain inventory oversight for the supported service centers.
- Parts inventory, cycle counts, inventory reconciliation.
- Coordinate stock/non-stock items, establish bin locations, establish re-order points.
- Create part numbers for incoming materials and create bin labels.
- Assist with managing parts catalog.
- Procure materials needed to support service center inventory as well as urgent request for down equipment.
- Create purchase orders through the maintenance software application.
- Facilitate parts procurement with approved vendors. Ensure parts are being ordered, delivered, and received to support maintenance operations.
- Creates historical work orders on work completed by 3rd party vendors.
- Inputs invoices from vendors and ensure payments are issued.
- File all DOT, annual inspections, preventative maintenance, and driver vehicle inspection reports for equipment managed by the service centers.
- Generate, review, and analyze data form operating systems.
- Have basic accounts payable knowledge. Ability to effectively communicate and collaborate with vendors to ensure accounts are in good standing.
- Experience working with internal and external customers, collaborating between operations and operations support.- 2+ years of administrative support experience; and Experience working within a maintenance department, preferably within the auto industry.
- High School Diploma or GED
