Summary
The on-site Administrative Assistant will play a key role in supporting daily office operations while also providing assistance to off-site employees. This role requires exceptional organizational skills, attention to detail, and the ability to manage and prioritize multiple tasks efficiently. The ideal candidate will be proficient in Microsoft Office suite and comfortable navigating various digital platforms. They should have strong computer literacy, having worked with digital documents and calendars, and demonstrate the ability to quickly learn new tools and technologies with minimal guidance. This is not a remote position.
Essential Duties and Responsibilities
On-Site Administrative Support
•Provide administrative assistance, including calendar management, meeting coordination, travel planning, drafting correspondence, and conducting research
•Organize and maintain digital files and shared folders to ensure easy access and version control
•Welcome guests and ensure conference rooms are set up and ready for use
Office Support
•Maintain a well-stocked and organized office by managing supply inventory, placing orders, and ensuring daily tidiness
•Oversee incoming and outgoing mail, packages, and deliveries
•Coordinate maintenance and facilities support, including reporting and following up on repair needs
•Act as the primary point of contact for vendors, handling inquiries, coordinating services, and maintaining professional and timely communication
Event Planning and Coordination
•Plan and execute internal and external events, securing hotel blocks and venues, coordinating logistics, managing day-of activities, and arranging catering, gifts, and reservations
Education, Skills, and Relevant Experience
· High school diploma or equivalent
•Proven experience as an administrative assistant or similar role, preferably in a corporate environment
•Strong organizational and multitasking skills, with a track record of managing competing priorities and meeting deadlines
•Excellent communication and interpersonal skills, with the ability to interact professionally across all levels of the organization
•Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn and adapt to new software and platforms
•Familiarity with virtual meeting and collaboration tools such as Microsoft Teams
Environmental Conditions
•Position is based in Denver, Colorado
•Works in an office environment
•Can lift and move up to 20 lbs. occasionally

Expected hours: 40 per week, M-F 8:00 AM-5:00 PM
Pay range: $23-26 per hour (based on experience and qualifications)
Additional compensation may include discretionary annual bonuses
