Your Role as an Administrative Assistant
We are seeking a detail-oriented and proactive Administrative Assistant to support our Estimating Department. In this role, you will provide essential administrative support to help keep the team organized, on schedule, and efficient. From managing documents and coordinating meetings to assisting with proposal preparation and communication, you'll be a key part of ensuring smooth day-to-day operations. What You'll Do:
Administrative Support & Coordination
•Provide daily administrative support to the estimating team, including file management, order entry, and interdepartmental communication.
•Manage shared inboxes, respond to inquiries, and route messages appropriately.
•Maintain office supplies, coordinate drawing orders, and schedule equipment service as needed.
•Assist with various administrative tasks and special projects to support a smooth and efficient department workflow.
•Manage and organize bid-related documents, forms, and submissions.
•Track and maintain project bid calendars, coordinate internal bide reviews, and prepare meeting materials and agendas.
•Monitor and maintain the Bid Tracker database; generate weekly updates and reports for leadership.
•Draft, format, and proofread proposals, bid letters, and client documentation.
•Handle all aspects of client and subcontractor prequalification documentation, including NDAs, MSAs, insurance certificates, and portal submissions.
•Collaborate with internal departments to compile complete and polished proposal packages.
•Undertake additional tasks assigned by senior management or which are logically inherent to the position.
What You Bring to the Table:
Education & Experience
•High School Diploma or equivalent.
•4+ years in an administrative role, preferably supporting project management team.
