Job Overview:
We are seeking an organized, detail-oriented, and proactive Administrative Assistant to join our team at Peninsula Recycling. The ideal candidate will play a key role in supporting the daily administrative operations, ensuring smooth communication and providing exceptional service to clients. This position is essential for helping us maintain efficient operations, improve customer satisfaction, and support the growth of the business.
Key Responsibilities:
•Provide administrative support to the office manager and senior staff, including calendar management, scheduling appointments, and managing communications.
•Answer phone calls and respond to emails from customers, vendors, and internal staff in a timely and professional manner.
•Process and file client orders, contracts, and invoices accurately.
•Coordinate service schedules for sanitation services, including waste collection, and more.
•Maintain and update the client database, ensuring all records are current and accurate.
•Prepare reports on sales, service completion, customer satisfaction, and operational performance.
•Handle office supplies inventory and place orders as necessary.
•Assist in preparing quotes, bids, and service agreements for clients.
•Liaise with the operations team to coordinate service requests and address any customer concerns or issues.
•Perform data entry tasks and assist with payroll, billing, and other administrative duties as needed.
Qualifications:
•High school diploma or equivalent.
•2+ years of administrative or office support experience (experience in sanitation, construction, or service industries is a plus).
•Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
•Excellent written and verbal communication skills.
•Detail-oriented with strong organizational and multitasking abilities.
•Ability to work independently and as part of a team.
•Ability to maintain confidentiality and handle sensitive information.
•Knowledge of basic office equipment (phones, printers, fax machines, etc.).
Preferred:
•Bilingual (English/Spanish) is a plus.
•Knowledge of the sanitation or waste management industry is a plus.
