We are seeking a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The ideal candidate for this position will be able to manage multiple tasks simultaneously, and is willing to learn and adapt to the changing needs of the company. We're seeking an individual who is able to multitask effectively, utilize technology for communication and has excellent organizational skills.
Responsibilities:
•Answer phones, take messages, and direct calls to the appropriate team members
•Handle incoming emails, sort and prioritize requests, and respond to general inquiries.
•Assist with day-to-day administrative functions to ensure smooth office operations
•Manage and organize office files (both digital and physical) related to fuel orders, client records, and compliance documentation
•Manage and coordinate appointments, meetings, and conference calls for management and team members
•Partner with HR to maintain posting and distribution of HR policies as necessary
•Assist in maintaining and organizing regulatory compliance documents for fuel distribution (safety certifications, delivery logs, and environmental documentation)
•Provide excellent customer service, responding to client inquiries about orders, schedules, and delivery issues
Skills:
•Knowledge of office management systems and procedures
•Possesses excellent communication, verbal and written, and interpersonal skills
•Must have strong organizational and time management skills, and ability to prioritize
•Strong problem-solving skills and analytical abilities
•Must have exceptional attention to detail
•Proficiency in MS Office (MS Excel and MS Word, in particular)
•Excellent time management skills and the ability to prioritize work
Qualifications:
•Post-secondary education / training is preferred; High school graduate or equivalent;
•Minimum 3 years of related experience, or equivalent education
